Job Description

Role Summary
The Administrative Coordinator, Leased Facilities provides operational support to the Maintenance department at leased facilities. Responsibilities include managing work orders, inventory, reporting, and maintaining secure environments.
Key Responsibilities
- Coordinate directly with Core Civic management and partners.
- Use CMMS to record, disseminate, and track labor for facility work orders.
- Process work orders to ensure accurate reporting of assets, labor, and contractor costs.
- Generate, track, assign, and update work orders in CMMS; recommend process improvements based on reporting metrics.
- Manage supply and equipment requisitions through CMMS; provide detailed reporting on labor costs and asset values.
- Inventory receivables and process equipment for specific work orders via CMMS.
- Conduct physical inventories; maintain inventory records.
- Create and maintain computerized and physical files, including sorting, labeling, filing, and retrieving, in accordance with retention and storage procedures.
- Monitor secure inmate areas (workshop and tool inventory); report security concerns to facilities management.
- Verify identification of inmates, residents, authorized personnel, and visitors to ensure safety and security.
- Communicate effectively and coherently with staff, inmates, and visitors; respond to inquiries, handle telephone calls, route calls, and take messages.
Qualifications
- High School diploma, GED, or equivalent required.
- Three years of full‑time secretarial or administrative office work required.
- Experience in maintenance or construction field (preferred).
- Experience with a Computerized Maintenance Management System (CMMS) (preferred).
- Organizational skills and experience with reporting and records management (preferred).
- Age 21 or older; valid driver’s license preferred.
- Minimum education:
High School / GED.
Compensation
$19.10 per hour, negotiable.
