Payroll and Finance Administrator

Closing date: 22 March 2026

We are currently looking to recruit a payroll and finance administrator to support the Finance Officer with payroll and finance administration for the organisation.

Hours:

18–20 hours per week, split over at least 3 days per week.

Main duties of the job

Payroll

  • Ensure prompt processing of contracted member practice payroll per the service agreement and in line with the data processing agreement, including the completion of the annual SD55 pension submission.
  • Accurately calculate, process and input payroll data into Sage Payroll.
  • Handle the secure and confidential treatment of all payments, records and personal information, obtaining correct authorisation before release.
  • Input and maintain employee records; liaise with the Practice Manager on payroll adjustments when an employee leaves.
  • Process changes to employees’ contract information from managers.
  • Respond to any payroll‑related questions or concerns, liaising with the Finance Officer or Federation Managing Director as necessary.

Finance

  • Input invoices onto Sage Accounts and allocate to the relevant department and nominal codes.
  • Complete supplier statement reconciliations, at least monthly.
  • Raise and follow up on sales invoices and late payments.
  • Raise internal invoices on behalf of Board Directors and Clinical Directors.
  • Undertake monthly bank reconciliations for various accounts.
  • Submit monthly Additional Roles Reimbursement Scheme (ARRS) claims via the NHS Portal and follow up on missing invoices.
  • Reconcile petty cash monthly.
  • Check the Finance email inbox daily.
  • Support the Finance Officer with the Finance Tracker and year‑end reconciliations.
  • Process authorised travel and business expenses, ensuring correct rates and HMRC compliance.
  • Produce letters and spreadsheets in Microsoft Word and Excel using standard templates.
  • Provide information required by the Federation Accountant for staff cost allocation.
  • Carry out any other duties as allocated.
About us

Hinckley and Bosworth Medical Alliance Ltd is a medical alliance supporting 12 GP practices within the locality, comprising 3 Primary Care Networks. The finance team will consist of this role alongside a finance officer.

This position offers an opportunity for growth within the organisation whilst contributing significantly to our payroll operation.

  • Participate in periodic infection control training (minimum annually).
  • Manage own team areas and demonstrate due regard for safeguarding and promoting the welfare of children.
Person specification
  • GCSE grade A to C in English and Maths.
  • Payroll experience is required.

Remuneration

£12.71 to £13.62 per hour, based on experience.
