The Practice Coordinator is a full-time, on-site role at Hilo Benioff Medical Center, requiring 6 months to 1 year of healthcare administrative experience. The position offers competitive compensation with an estimated base salary of $22 to $26 per hour.

Overview

The Practice Coordinator is responsible for supporting and maintaining the practice. S/he will work with the THHM Facility Medical Director, VP of Client Service, Regional Medical Director, and TH HM provider staff, and collaborate with hospital administration to meet all needs. Operationally, s/he identifies and accounts for each patient seen by hospitalist physicians and manages inpatient medical records for billing and reporting purposes.

The Practice Coordinator will forward records to the designated Billing Center, maintain data on batch reporting, and contribute data for facility dashboards. The role requires productivity and achievement of target goals as designated by the Supervisor.

ESSENTIAL RESPONSIBILITIES
  • The Practice Coordinator is responsible for carrying out duties as directed by Team Health.
  • Communicate regularly with the designated Team Health Supervisor.
  • Follow and maintain patient confidentiality in accordance with HIPAA standards.
  • Access hospital information systems or coordinate with facility staff to obtain patient demographic and insurance data for accurate billing information and updates to the billing center.
  • Coordinate completion of physician clinical documentation and collaborate with the medical director to ensure complete documentation and signatures.
  • Notify the Supervisor and seek assistance from Team Health when a facility process change affects current workflows.
  • Achieve and maintain individual target goals for the facility as designated by the Supervisor.
  • Maintain professional appearance and performance at all times.
ADMINISTRATIVE RESPONSIBILITIES
  • Support Facility Medical Director, VP of Client Services, Regional Medical Director, and TH HM provider staff.
  • Monthly TH HM administration meeting – scheduling, agenda preparation, and minutes.
  • Monthly provider meeting – scheduling, agenda preparation, and minutes.
  • Facilitate provider scheduling changes and notifications.
  • Monthly collection and tracking of critical data for dashboards.
  • Complete dashboards for electronic interfaces.
  • Message and mail distribution.
  • Miscellaneous duties or tasks assigned by leadership (e.g., brochure distribution, marketing, Call Back Program, PCP Notification Program, etc.).
OPERATIONAL RESPONSIBILITIES
  • Obtain a copy of inpatient records for each patient upon discharge.
  • Ensure each medical record contains required items before batching (physician chart with H&P and discharge summary, daily progress notes, patient demographics, insurance information, etc.).
  • Assemble batches with all complete records reconciled to the discharge report.
  • Ship work to the designated Billing Operations Center (BOC) and maintain necessary supplies.
  • Communicate with TH HM Supervisor and physicians when records are incomplete; if needed, notify TH HM Director, Facility Medical Director, VP of Client Services, and Regional Medical Director.
  • Identify and retrieve all missing or incomplete records promptly.
  • Assume tasks and responsibilities as assigned by the Supervisor or TH HM staff.
  • Develop and maintain positive working relationships with hospital staff.
  • Work the assigned hours per week and submit timesheets weekly (Kronos may be used for time reporting).
JOB QUALIFICATIONS

General knowledge of the medical record process with at least one year of experience in a hospital or physician's office setting is preferred. Clerical and reconciliation experience, and the ability to maintain records, are also preferred.

  • B.A. or equivalent job experience is preferred

  • Proficiency in Excel and Word
