Position: Administrative Assistant / Office Administrator

Doyle Brothers Contracting – Hillsborough, NJ Part-Time or Full-Time Available

Doyle Brothers Contracting is seeking a reliable, detail-oriented Administrative Assistant / Office Administrator to support daily office operations and work closely with ownership, sales, and field teams. This role is critical to keeping the business organized, responsive, and running efficiently.

The ideal candidate is professional, tech-savvy, and takes pride in their work. They are comfortable handling multiple responsibilities, communicating with customers, and supporting both administrative and sales functions in a fast-paced construction environment.

Key Responsibilities
  • Answer and manage incoming phone calls and emails professionally
  • Serve as a primary point of contact for customers, vendors, and internal staff
  • Support sales efforts, including customer follow-ups, proposals, and scheduling
  • Assist with advertising and marketing efforts (social media, basic outreach, campaigns, etc.)
  • Maintain organized workflows, records, and reporting systems
  • Assist with payroll processing
  • Manage Accounts Receivable (A/R) and Accounts Payable (A/P)
  • Perform basic bookkeeping and administrative accounting tasks
  • Prepare and manage contracts, proposals, revised proposals, change orders, and RFQs
  • Help manage projects from quote through completion
  • Coordinate with field supervisors to communicate job details and requirements
  • Maintain office systems, files, and digital platforms
  • Order office supplies and maintain inventory as needed
Required

Skills & Qualifications
  • Comfortable working with computers and cloud-based systems
  • Highly organized with strong attention to detail
  • Ability to multitask and prioritize effectively
  • Professional written and verbal communication skills
  • Experience in an office, administrative, or construction-related role preferred
Preferred Experience (Not Required, but a Plus)
  • Jobber software experience
  • Payroll processing experience
  • Construction or contracting industry experience
  • Marketing or advertising support experience
  • Part-Time or Full-Time options available
