Role Responsibilities:
Front Desk, Visitor Management & Facility Support – 40%
Assure high‑quality customer service by greeting visitors, managing building access, and serving as the primary point of contact for all deliveries, vendors, service technicians, and inquiries. Provide primary phone support, including the VA main line—ensuring all calls are answered promptly and professionally. Maintain the lobby, café, breakroom, and common areas to ensure they are clean, stocked, organized, and secure. Oversee daily workflow of front‑desk operations to ensure consistent, reliable coverage Monday through Friday.
Administrative & Departmental Support – 25%
Provide comprehensive clerical and administrative support to Operations (Deposits, Loans, and Admin). Process departmental invoices, assist with meeting planning, and coordinate catering and room setup for internal meetings and visitors. Support special projects, departmental tasks, and creation of documents using Microsoft Office tools. Assist with internal communication and maintain organized workflows, schedules, and documentation.
Supplies, Ordering, & Office Coordination – 15%
Manage office and breakroom supply inventory by monitoring stock levels, placing orders, coordinating with vendors, and ensuring all supplies are replenished in a timely manner. Oversee vending operations and respond to facility‑related service needs to maintain an efficient and well‑functioning work environment.
Mail, Deliveries & Vendor Coordination – 10%
Serve as liaison for daily mail operations including sorting, distributing, and coordinating outgoing mail. Log incoming UPS and Fed Ex packages and notify appropriate personnel. Coordinate on‑site access for vendors and service providers, ensuring proper communication and follow‑through on facility needs.
Scanning, Records & Operational Support – 10%
Provide scanning support for multiple departments, including imaging, quality control, and document verification. Assist with confirmations, records management, and other operational tasks as assigned. Maintain accuracy and compliance with all banking standards and confidentiality requirements.
Minimum Qualifications:
Two years prior job-related experience as an executive assistant, receptionist, and customer service management, with retail banking knowledge and experience a plus
Excellent verbal and written communication skills
Knowledge of personal computers and proficiency in MS Office Suite
Ability to multitask and detail oriented
Education: High school graduates with college degree preferred and prior work-related experience as an Administrative Assistant.
Work Environment:Essential Onsite Position - This position schedule is Monday
- Friday and fully in office, expected hours are 8:00 AM - 5:00 PM, hours may vary depending on onsite responsibilities.
