Job Summary

The Planning and Scheduling Coordinator is responsible for planning and coordinating production schedules while ensuring the timely procurement of components and materials. This role works closely with production, PD, suppliers, and inventory teams to maintain optimal inventory levels, follow up on purchase orders, and support on-time delivery of finished products.

Key Responsibilities

Production Scheduling
  • Develop, maintain, and update production schedules based on customer demand, capacity, material availability, and lead times.
  • Coordinate with production, PD, and operations teams to ensure schedules are realistic and achievable.
  • Monitor production progress and adjust schedules as needed to address changes, delays, or priorities.
  • Communicate schedule changes clearly to all affected departments.
Purchasing & Procurement
  • Purchase components, raw materials, and supplies required to support production schedules.
  • Generate and issue purchase orders in accordance with company policies and approved vendors.
  • Source alternative suppliers or materials when necessary to avoid production disruptions.
  • Ensure purchased items meet quality, cost, and delivery requirements.
Purchase Order Follow-Up
  • Track open purchase orders and proactively follow up with suppliers on order status and delivery dates.
  • Expedite orders when needed to meet production or customer deadlines.
  • Resolve discrepancies related to quantities, lead times, or deliveries.
  • Maintain accurate purchasing and supplier records.
Inventory Management
  • Monitor inventory levels to ensure adequate material availability while minimizing excess stock.
  • Coordinate cycle counts and assist with physical inventory as required.
  • Analyze usage trends and forecast future material needs.
  • Work with warehouse and production teams to address shortages, overages, or obsolete inventory.
Cross-Functional Communication & Reporting
  • Serve as a key link between production, purchasing, warehouse, and suppliers.
  • Prepare reports related to production schedules, inventory levels, material shortages, and supplier performance.
  • Support continuous improvement initiatives related to planning, purchasing, and inventory processes.
