The Service Center Billing Coordinator is responsible for preparing and managing customer invoices for services performed at the Service Center. This role works closely with leadership and Service Center staff to ensure accurate billing practices, compliance with established policies, and efficient administrative support. The coordinator also assists in developing and maintaining Service Center policies and procedures through effective data entry and documentation management.
Dutiesand Responsibilities
- Ensure accurate handling of accounts and proper retention of Repair Station documents.
- Prepare and issue precise invoices for services performed, coordinating with the HACI Finance Department to ensure compliance and accuracy.
- Compile and process information related to parts pricing, discounts, shipping charges, and other applicable costs for repairs, modifications, and upgrades.
- Process and track warranty claims and core returns.
- Assist the Repair Station Operations Manager with expense tracking and reporting.
- Collaborate with internal departments to maintain accurate billing and documentation.
- Plan and prioritize daily workload by analyzing reports, schedules, and operational requirements.
- Identify and resolve issues related to parts availability, delivery timelines, and regulatory requirements.
- Perform other duties as assigned by management
- Associate’s degree in Business Administration or a related field preferred; equivalent industry experience and training accepted.
- Previous experience as a billing coordinator or in a similar role is required.
- Proficiency in Microsoft Excel, SAP, Quantum, and a strong understanding of financial data.

- Ability to communicate effectively in Business English
