Primary Purpose of Position

The primary purpose of this position is to provide administrative and procedural support to Care Management staff. This employee serves as a valuable member of the team, providing and coordinating a full range of support activities necessary for the effective management of the department and waiver compliance. This employee must be flexible and adaptable to change and improvement of processes. The work tasks contribute to accountability and require that the employee be dynamic, possess autonomy, and demonstrate accountability.

The employee must be familiar with the aims and objectives of the department and consistently carry through with established program practices with minimal daily instruction.

Role And Responsibilities

The responsibilities of this position include, but are not limited to, the following:

Organization/Administrative Support
  • Screening/routing mail
  • Facilitating flow of work through the assigned teams and departments
  • Multi-tasks effectively and utilizes organizational knowledge to ensure that the workload is being completed in a manner consistent with established objectives
  • Taking meeting minutes for internal and/or external meetings
  • Greets, and assists visitors. Assesses information given and responds with proper information
  • Collaborates/ Coordinates efforts with other employees to ensure that assigned program practices are consistently implemented and informs Supervisor if unable to resolve concerns directly with the employee involved (e.g. deviations in timelines or needed documentation, etc.)
  • Appropriately directs questions/concerns and promotes a positive work environment
  • Other duties as assigned
Data Management
  • Thoroughly and accurately enters and maintains data in all applicable systems and/or databases as per established practices, processes or protocols
  • Ensures that established processes and protocols are consistently followed and that opportunities for streamlining are shared with Supervisor
  • Ensures that all data/information sharing is timely and well-documented to support waiver compliance and strong customer service
  • Assists in design of reports for internal and external recipients

Skills And Abilities
  • Demonstrated knowledge of established practices/processes and ability to apply knowledge to resolve problems/inquiries, to process information and independently complete assigned tasks
  • Ability to coordinate a variety of resources when gathering information
  • Ability to analyze and interpret program policy/procedure or protocols and to resolve problems and questions
  • Ability to practice effective communication techniques, both orally and in writing
  • Ability to use judgment and make prompt independent decisions based upon relevant facts and established processes
  • Positive, solution-focused approach to problem solving
  • Ability to organize workflow and coordinate activities
  • Proficiency in Microsoft Office products (such as Word, Excel, Outlook, etc.) is required
  • Ability to recognize sensitive or unusual situations that should be referred to another more appropriate team member or to Supervisor
  • Ability to manage and uphold integrity and confidentiality of sensitive data
Education/Experience

Education/Experience

Required:

High School graduate or equivalent and 1 year of administrative support experience. NC residency required

Education and Experience Preferred: Associate degree in business or office administration field, with at least 2 years administrative experience in a healthcare or human services environment.
