Job Summary:

The Human Resources Specialist supports the day-to-day execution of Human Resources operations across a multi-entity organization. This role serves as a key point of contact for managers and employees, delivering high-quality, service-oriented HR support, addressing employee inquiries, and partnering with external vendors to ensure consistent and compliant HR operations.

Supervisory Responsibilities

This position does not have direct supervisory responsibility but regularly provides guidance and functional support to managers regarding employee management and HR practices.

Key Responsibilities HR Operations & Employee Lifecycle
  • Administer HR processes related to onboarding, offboarding, job changes and employee status updates
  • Maintain accurate and compliant personnel files across all entities
Payroll & Timekeeping
  • Assist with payroll preparation by tracking timesheet submissions, PTO requests, and approvals
  • Process bi-weekly payroll, including variable data with external provider
  • Conduct routine audits of payroll-related data to support accuracy and compliance
  • Follow up with managers on missing or incomplete payroll information
  • Partner with payroll and benefits vendors (PEO partners) to support accurate employee data, benefit eligibility, and system updates.
Compliance & Documentation
  • Track completion of required acknowledgements, trainings, and policy signoffs
  • Assist with internal and external audits by gathering documentation and reports
  • Maintain HR templates, SOPs, forms, and standardized communications
  • Support compliance with federal, state, and local employment regulations
Employee & Manager Support
  • Respond to employee inquiries regarding policies, benefits, payroll coordination, leave processes and general HR matters.
  • Escalate complex or sensitive employee relations matters to HR leadership
  • Support internal communications and employee engagement initiatives
  • Partner with operations and leadership teams to support a consistent, service-oriented HR approach across all locations.
Required Skills & Abilities:
  • Strong attention to detail and organizational skills
  • Excellent written and verbal communication skills
  • Excellent people skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  • Ability to exercise independent judgment, discretion, and confidentiality in sensitive matters
  • Strong working knowledge of payroll processes, employment laws, and HR best practices
  • Proficiency in HRIS systems and Microsoft Office (Excel, Word, Outlook)
  • Familiarity with wage & hour compliance and benefits administration
  • Strong customer service mindset with the ability to balance empathy, policy application, and business needs
  • Develop and maintain productive relationships with HR vendors to support HR programs, compliance, and service delivery.
Education & Experience:
  • Minimum of an Associate’s Degree in Human Resources, Business Administration, or a related field or an equivalent combination of education and relevant HR experience
  • Minimum of 3-5 years of progressive HR experience in a professional HR role
  • Experience working with PEOs or external HR/payroll vendors
  • Experience supporting multi-entity or multi-location organizations
Physical Requirements:
  • Prolonged periods sitting at a desk and working on a computer.
  • Regular use of office equipment (computer, copier, phone, etc.)
  • May be required to travel occasionally to studio locations, community events, or corporate meetings.
