The Automotive Accounting Specialist is a key contributor within the dealership’s business office, supporting accounting operations related to warranty administration, deal compliance, inventory controls, and wholesale transactions. This role is ideal for a detail-oriented professional who values accuracy, organization, and consistency in a fast-paced automotive environment.

The Automotive Accounting Specialist ensures financial and transactional documents are processed accurately and on time, internal controls are followed, and dealership operations remain compliant with regulatory and manufacturer requirements. This position works closely with management and cross-functional teams and plays an important role in maintaining the integrity of dealership accounting processes.

Key Responsibilities
  • Reconcile assigned general ledger and supporting accounts on a monthly basis; identify, analyze, and report discrepancies.
  • Review and maintain accounting schedules throughout the month and prepare materials for review with the Office Manager prior to adjusting entries.
  • Process warranty cancellations for customers and financial institutions in accordance with dealership, lender, and manufacturer guidelines.
  • Verify that all transactions and accounting entries receive appropriate approvals and documentation.
  • Scan, organize, and retain accounting work papers and supporting documents related to assigned responsibilities.
  • Support deal compliance, inventory controls, and wholesale documentation to ensure accuracy and completeness.
  • Follow established daily accounting and internal control procedures, unless otherwise directed by management.
  • Provide administrative and accounting support to leadership as needed.
  • Maintain a professional appearance and represent the dealership with integrity.
  • Communicate clearly and professionally with customers, vendors, management, and dealership staff via phone, email, and in person.

  • Strong written and verbal communication skills.
  • Proven ability to manage multiple tasks while meeting deadlines and maintaining attention to detail.
  • Well-developed organizational and time-management skills.
  • Proficiency with office equipment and dealership computer systems.
  • Ability to work effectively within accounting and dealership software platforms.
  • Commitment to ethical, consistent business practices.
Previous Automotive Dealership Accounting Or Office Experience Required.

CDK Experience preferred but not required for the right candidate.

Work Environment

This role is primarily office-based. Occasional exposure to outdoor conditions may occur while transporting documents or performing audits between dealership locations. Periodic work near service or parts departments may be required, where noise levels and typical automotive repair fumes may be present.

Physical Requirements

The employee must be able to sit, stand, walk, drive, talk, hear, type, and use standard office equipment throughout the workday. Occasional lifting of office materials up to 20 pounds may be required.

Position Type & Schedule

This is a full-time, onsite position, Monday through Friday, 8:00 a.m. to 5:00 p.m. Additional hours may be required during payroll processing, month-end close, or other business-critical deadlines.

Travel

Local travel between dealership locations may be required. Occasional overnight, out-of-state travel may be necessary for manufacturer meetings or management training.
