Accounting Manager
Role Definition
The Accounting & Operations Manager is responsible for project-level accounting, billing, accounts receivable, accounts payable, contract administration. This role supports accurate project accounting and compliance and works in coordination with the Controller, who retains responsibility for month-end close and financial reporting.
Key ResponsibilitiesBilling & Accounts Receivable
- Prepare and issue monthly AIA pay applications (G702/G703) to customers
- Maintain accurate accounts receivable records and organized billing documentation
- Process customer payments, apply payments to accounts, and note and resolve discrepancies
- Evaluate ageing reports to support timely collection of outstanding balances
- Send, collect, and track monthly subcontractor and vendor lien waivers
Project Setup & Contract Administration
- Oversee new project setup, including job creation, cost codes, and contract documentation
- Maintain contract files, billing requirements, and compliance documentation
- Enter Potential Change Orders (PCOs) and track them through final approval as contract change orders
- Communicate with project managers to ensure PCOs and change orders are finalized and billed timely
Accounts Payable
- Manage accounts payable processing, including:
- Bi-weekly check runs
- Vendor statement reconciliations
- Lien release and waiver compliance
- Ensure payments are properly coded and supported by required documentation
- Maintain vendor records and compliance, including W9s and insurance certificates.
Fixed Asset & Equipment Accounting
- Maintain the fixed asset register for company vehicles, equipment, and major tools
- Track asset purchases, disposals, and transfers
- Coordinate depreciation schedules and fixed asset reporting with the Controller
- Maintain internal asset tracking documentation
Coordination with Controller
- Coordinate with the Controller on job cost accuracy, WIP support, and accounting system integrity
- Provide project-level data and documentation to support month-end close and financial reporting performed by the Controller
- Assist with month-end support tasks only, such as reconciliations or documentation requests.
Reporting & Audit Support
- Prepare and maintain internal project-level, AR, AP, billing, and compliance reports as requested by management
- Provide documentation and support for external audits, reviews, and insurance inquiries
Compensation / Pay Rate (Up to): $24.00 - $24.00 Per Hour
