Overview
VST - Volunteer Support Technician (MT, Helena) role at Interactive Government Holdings, Inc. (IGH). IGH is a leading professional services and technology provider to the Federal Government. Responsibilities- Work in close coordination and cooperation with State Chairs, and resident Guard/Reserve leadership at the national, state, and local levels.
- Track compliance of State Committee volunteers with access to DoD-related information systems, personal data, annual PII training, and cybersecurity training.
- Analyze and provide feedback on current systems and programs to improve compliance with DSSC policies and guidance.
- Provide input and recommendations for program improvement of the assigned ESGR area to ensure compliance with ESGR policies and guidance.
- Perform administrative tasks to establish and manage a volunteer network; maintain member data in ESGR systems of record (ESGR portal and Event
PLUS). - Maintain accurate data in Event
PLUS and MMS; monitor information for accuracy and availability. - Enter Patriot Award delivery confirmation details into Event
PLUS and record Statements of Support signings. - Create events for volunteer activities and complete After-Action Reports (AAR) in Event
PLUS. - Download the online training report from Event
PLUS and enter training completed by committee volunteers into their MMS records. - Enter volunteer hours for the previous month into MMS.
- Manage registration for all Employer outreach events in Event
PLUS. - Provide data from ESGR systems to the State Chair on volunteer contributions and outstanding employers of RC members as requested by the State Chair.
- Support volunteers in establishing working relationships with DSSC customers, stakeholders, strategic partners, and strategic alliances to enhance volunteer engagement in support of the ESGR mission.
- Coordinate and ensure all equipment purchased with ESGR funds is reported on the respective property books and properly hand-receipted for accountability.
- Provide information to volunteers regarding the Joint Ethics Regulation as it applies to volunteers representing DoD; including use of funds, gifts, travel, and relationships with non-DoD organizations.
- Coordinate and provide logistics support for training events, conferences, and break-out sessions, including room setup, seating, marketing fulfillment display, audio-visual package, and internet connectivity checks.
Note:
contractors shall not book hotel rooms for the government or volunteers. - Provide USP&FO information needed to coordinate government purchase card actions and contracts on behalf of ESGR.
- Provide basic IT assistance to volunteers (e.g., password resets and login assistance for the ESGR Portal).
- Provide administrative support to state/territory chairs and HQ ESGR support staff in planning and execution of SC activities per ESGR Operating Instructions (ESGROI).
- Keep the State Chair informed of all communications between the SC and HQ ESGR.
- Provide Ad Hoc reports using MMS and Event
PLUS to the State Chair or HQ ESGR. - Validate the accuracy of USP&FO and Event
PLUS reconciliation reports and inform volunteers of fund status. - Reconcile USP&FO and Event
PLUS reports with HQ ESGR-approved SC Annual Spend Plans and notify the State Chair and Volunteer Support Regional team if expenditures exceed projections. - Provide the State Chair with an analysis of past funds execution, events, and activities for annual spending plan development.
- Facilitate communications and activities between HQ ESGR SC leadership and volunteers by distributing emails, flyers, and training information.
- Assist committee leadership with access to ESGR award nominations, formatting, and deadlines for submission.
- Coordinate committee volunteer participation in Military outreach briefings.
- Conduct quarterly validations of the accuracy of committee contact and leadership information on the esgr.mil state page.
- Ensure volunteers have information needed to plan and execute SC missions (Military Outreach, Employer Outreach, Volunteer Training, Volunteer Awards, Public Affairs, and Ombudsman).
- Ensure volunteers are aware of the ESGR online resource library in MMS.
- Act as a non-accountable official (NDEA) in DTS.
- Review travel vouchers prior to submission for proper voucher completion; maintain a tracking system for travel reimbursements and follow up on returned vouchers.
- Ensure volunteers have a valid volunteer agreement (DoD Form 2793) prior to service and save the completed form in the MMS records.
- Document and submit volunteer hours for the previous month into MMS no later than the 6th of each month.
- Other duties as assigned.
- Familiarity with the National Guard and Reserve Component Organizations.
- Familiarity with USERRA 1994 and related DoD directives, RC policies, or related guidelines.
