A Project Administrator will assist in the project manager with the coordination of activity and administration of multiple construction projects from development through construction close out and ongoing servicing.
ESSENTIAL FUNCTIONS AND DUTIES OF POSITION- Strong written and oral communication skills
- Computer literacy with Microsoft Office, Vista, and FMP
- A strong working knowledge of construction methods and practices
- The ability to interpret construction documents (plans, specifications, contracts)
- Maintain a neat and professional appearance and demeanor
- Assist the project manager with project preparation and start up
- Assist the project manager in the preparation of subcontracts
- Assist the project manager with project administrative duties such as subcontractor management, schedule tracking, bidding, budget tracking, AP/AR activities specific to the project, preparation of change orders and execution of same, prepare and distribute project progress reports, prepare and distribute project meeting agendas/directives/minutes, etc.
- Assist the project manager and/or build team in assembling and preparing samples and distribute submittal packages.
- Assist the project manager in overseeing project team daily for build out
- Assist the project manager and/or build team assemble deliverables for project close out (as builds, permit files, compliance letters/certifications, warranty, and maintenance binder/program, etc.)
- Assist the project manager and/or build team review project documents for accuracy, completeness, and familiarity
- Assist the project manager prepare / distribute / track RFP’s
- Assist the project manager perform in house take off’s
- Assist the project manager create and distribute RFI’S as needed
- Assist the project manager qualify subcontractor and/or vendors proposals to ensure accuracy and completeness
- Assist the project manager in the preparation of project proposals (budget spreadsheets, scope qualifications, schedule, project specific documents for presentation, etc.)
- Performs other duties as required based on Company’s needs.
- A High School diploma, GED, or equivalent required.
- 5+ years of progressively responsible administrative experience required
- Excellent oral and written communication
- Advanced Microsoft Office 365 skills, with an ability to become familiar with company-specific programs and software specifically Vista and FMP.
- High attention to detail and problem-solving skills
- Works well both independently and in a team environment
- Ability to take direction, meet timelines, and impeccable multi-tasking abilities
- Adaptable to fast paced work environment with repetitive projects and changing priorities
- Strong work ethic with high level of integrity
- Reliable Transportation
- Friendly and professional demeanor
- Must be able to provide proper documentation that you have the legal right to work in the United States.
