Position Summary

The Patient Service Representative is responsible for providing outstanding and professional customer service to ensure efficiency, promote a positive patient experience, greet and check‑in arriving patients, evaluate priority, direct patients appropriately, maintain a clean lobby, remain polite and courteous, and perform additional administrative duties as outlined in Position Responsibilities and Expectations.

Minimum Qualification Requirements
  • A high school diploma or GED equivalency; three (3) years general secretarial experience; or a two‑year business degree with one‑year secretarial experience.
  • Must possess effective communication skills, competency in basic medical assisting skills, interacting with patients, and ability to assess and communicate psychological observations.
  • Positive, customer‑focused approach, commitment to providing excellent patient care.
  • Proven ability to work effectively in a team environment.
  • Experience with Electronic Medical Records preferred; strong computer skills and solid working knowledge of Microsoft Office Software.
  • Strong organizational skills and attention to detail.
Position Responsibilities And Expectations
  • Answer phone calls in a polite and timely manner; screen calls, retrieve messages, and distribute voicemail messages and faxes to appropriate staff.
  • Check‑in desk duties: verify patient information, direct patients, perform BACs, obtain patient signatures on lab slips, label specimens, instruct patients to provide urine samples (and supervise when required), read temperature of urine samples, accept urine samples, place patients in medication queue (pressing F12), prepare urine samples for transport to lab, process instant urine samples and enter results in the patient’s medical record, provide missing information on ADL lab slip and return to lab for processing, restock supplies, close check‑in desk, send out end‑of‑day reports, maintain inventory of ADL supplies and order accordingly.
  • Administrative/Billing duties: collect fees and record payments; coordinate accounts receivable including billing and insurance authorization processes; photograph clients and prepare client ; electronically prepare medical records for new admissions and accompanying information; process client refunds; type correspondence to outside agencies and inter-office memorandums; participate in clinical staff meetings; take minutes at staff meetings; DDAP processing for DMHAS client tracking requirements, admissions and discharges;

    complete client fee contracts; update lobby boards; process late letters on a timely basis; perform any other clerical/secretarial or technical duties as directed.
  • Reports: daily reconciliation client fee reports; patient test status reports; weekly fee reports; monthly client collateral tracking report and other data collection and reports as requested by the clinic supervisor.
  • Office Supplies and IOP Supplies: order supplies according to monthly budgeted amounts, maintain inventory and keep a neat and clean supply area.
