Position Summary

Under the direction of the Manager, Real Estate Lease Administration, the Real Estate Transaction Analyst, will perform duties necessary to ensure the lease administration system is updated both timely and accurately. The inputting of lease information received will generate precise accounting, payment, invoicing and reporting related to our lease portfolio. This position will review and input financial invoices, taxes and other expenses related to a portfolio of leases that will require interacting with both internal and external customers to ensure alignment of expenses.

Additional tasks include common area maintenance (CAM) reconciliations, inter-company lease creation, utility transitions and effective communication with landlords, tenants and internal stakeholders. In partnership with our legal team the analyst will work to standardize our contractual agreements and perform ad-hoc assignments as requested. An analyst may also lead and / or execute special projects as necessary.

Position Responsibilities

Key Areas of Responsibility

  • Completes transactions and administration related to a sub-set of HHCs lease portfolio. This will include receipt, input and process of payment for invoices, utility transitions and tracking for new leases, the creation and input of inter-company leases, amendments and terminations. Timely and accurate input into HHCs lease administration software program. Support budgeting and forecasting of leased properties.
  • Works to complete common area maintenance (CAM) reconciliations for a sub-set of HHCs lease portfolio. Identify discrepancies, resolve billing issues, and communicate adjustments to internal and external stakeholders.
  • Communication with internal end users, legal, accounts payable, accounts receivable to obtain information necessary, input and direction of intercompany leases. Also communicate with external stakeholders such as landlords and tenants providing a high level of services and business acumen. Facilitate to resolve or escalate any discrepancies or issues timely that may arise related to owned, leased or sub-leased properties.
  • Contributes to meeting the team goals in addition to individual responsibilities, by attending huddles, training for new or current workflows that need to be learned, understanding the HHC vision and working towards the same goals, more automation, more lean workflows, and to be as efficient as possible.
  • Participates in growth and development of department and maintain good working knowledge of computer systems and functions. Find and bring forward ways to better the current systems to make for more efficient processing.

Qualifications

Education

  • Minimum:
    Bachelor’s Degree Required or 5 years of equivalent Experience with in real estate leasing.
  • Preferred:
    Real Estate, Finance, Business or related field

Experience

  • Minimum: 3 or more years’ experience in real estate leasing and/or financial accounting
  • Preferred:
    Strong financial and analytical skills, with attention to details

Knowledge, Skills And Ability Requirements

  • Strong understanding of lease terms, CAM billing, and general real estate practices.
  • Excellent data entry and database management skills with high attention to detail.
  • Proficiency in Microsoft Excel, Word, and lease administration software
  • Exceptional organizational and communication skills.
  • Ability to manage multiple tasks and deadlines in a dynamic environment.
