The Spirit of the PositionThe Finance Administrative Assistant supports the CFO and Finance Department by managing administrative and operational tasks that ensure the smooth functioning of finance-related activities and prioritized work streams. This role is critical in maintaining accurate records, facilitating meetings, supporting audits, and coordinating departmental initiatives.
Responsibilities CFO Administrative Support- Manage and maintain expense reports on a weekly/bi-weekly basis.
- Book and manage travel for CFO and finance executives as needed.
- Manage calendar for CFO and finance leadership.
- Administer Doc Link and ensure proper document management for finance.
- Provide other support to CFO and finance team as needed.
- Schedule P&L calls and budget meetings for the finance department.
- Organize finance huddles and new hire luncheons for the department.
- Coordinate LAZZIES (annual award recognition event).
- Assist in planning department meetings and retreats.
- Assist in the coordination of deliverables for annual audit.
- Assist in monthly budget reviews across finance departments and document necessary actions.
- Assist in build‑out and tracking of department KPIs (ie., AP invoices/person, CRS reports/person).
- Assist in finalizing and distributing key documents for meetings (ie., board deck).
- Maintain key documents and ensure proper visibility across finance.
- Ensure rhythm meetings are held across the finance org and summarize key takeaways.
- Maintain a well‑documented listing of priority finance initiatives.
- Assess priorities for resource overlap and proactively address resource constraints.
- Maintain internal team calendar of key PTO and priority deliverables.
- Maintain an external‑facing calendar of key dates for operational leadership.
- Associate’s Degree in Business Administration, Office Management, or a related field preferred;
Bachelor’s Degree a plus. - Additional coursework or certifications in project management (ie., PMP, CAPM), executive support, or financial systems (ie., Excel, ERP tools) are a plus.
- 1-2 years administrative experience, preferably in a finance or accounting environment.
- Experience supporting executives or finance leadership is preferred.
- Experience with audit coordination, budget reviews, and KPI tracking is a plus.
- Experience with expense reporting and travel management systems.
- Experience with calendar management and meeting facilitation.
- Advanced knowledge of Microsoft Office 365 (Excel, Word, Outlook); strong Internet and document management skills.
- Strong organizational and time management skills; ability to manage multiple tasks in a fast‑paced environment.
- Excellent communication skills with all levels of the organization.
- Attention to detail and high level of accuracy.
- Proven problem‑solving abilities.
- Commitment to confidentiality and integrity.
- Ability to work independently and as part of a team.
- Ability to prioritize and manage time to meet deadlines.
- Ability to lift, push and pull at least 10lbs.
