Overview
Position requires the candidate to be a W2 employee of Donatech. US Citizenship/Permanent Resident Required.
Responsibilities- Coordinate and schedule interviews across multiple time zones, ensuring alignment between candidates, recruiters, hiring managers, and interview panels
- Manage complex scheduling logistics including panel, executive, and/or high-volume interview calendars
- Serve as a primary point of contact for candidates throughout the interview process, providing timely updates, clear instructions, and a high-touch experience
- Arrange candidate travel (flights, hotels, ground transportation) and ensure seamless itineraries for onsite or final-stage interviews
- Process and/or track candidate expense reimbursements in accordance with company policy
- Prepare and distribute interview agendas, candidate profiles, and evaluation materials to interview teams
- As appropriate, maintain accurate candidate records and status updates within the applicant tracking system (ATS)
- Help improve interview scheduling workflows, tools, and processes to increase efficiency and reduce time-to-schedule
- Track and report on scheduling metrics and coordination volume to support recruiting operations insights
- Contribute to continuous improvement of the candidate experience by identifying gaps and proposing solutions
- Support additional TA administrative and coordination tasks as business needs evolve
- Ensure recruiting and hiring practices adhere to all applicable local, state, and federal employment laws and OFCCP and EEOC guidelines
- Education:
High school diploma/equivalent +8 years OR bachelor's degree +4 years of relevant experience
- 1-2 years of TA coordination, administrative assistant and/or heavy calendaring/ meeting scheduling experience preferred.
- Advanced knowledge of Microsoft Office (Word, Excel and Outlook) and internet research capabilities.
- Experience using Workday and/or other information system.
