Your responsibilities will include case management and ensuring excellent client communication by monitoring incoming emails, responding to client inquiries, scheduling prospective client meetings, triaging clients' requests to other members of the team, and similar tasks. Other duties will include calendaring and case management. This role may include heavy phone contact, through outbound calls to clients and others, so being confident and professional on the phone is key.

Other tasks may include file organization, filing, scanning, and preparing client correspondence.

As you become familiar with the Firm, its processes and procedures, there will be room for advancement if desired.

Responsibilities
  • Perform essential administrative tasks like filing, scanning, and creating/maintaining organized records and client files.
  • Review and process legal documents with accuracy and attention to detail.
  • Proactively manage tasks arising from incoming mail, ensuring timely follow-through.
  • Effectively monitor tasks to ensure 100% completion in a timely manner.
  • Make outgoing calls to clients, gather information, provide updates, and offer excellent service and client experience.
  • Collaborate with attorneys and paralegals to support ongoing legal matters and projects.
  • Track your time on a daily basis (our Firm bills tracks all time for all employees, and we generally bill on an hourly basis, so accuracy is key)
  • Assist with various office tasks and contribute to a well‑organized, efficient workplace.
Qualifications
  • Education & Experience: Bachelor’s degree preferred, but not required. Prior experience in a law firm or professional office environment is a plus.
  • Organizational

    Skills:

    Exceptional ability to multitask, prioritize, and meet deadlines in a fast‑paced environment.
  • Tech‑Savvy: Proficient with Microsoft Office Suite (Word, Excel, Outlook) and comfortable learning new legal software and systems. Experience with billing software is a plus.
  • Communication

    Skills:

    Strong verbal and written communication skills, with a professional and personable demeanor. Confidence in speaking with clients, attorneys, and other professionals is essential.
  • Attention to Detail: Meticulous in reviewing documents, managing deadlines, and ensuring accuracy in all tasks.
