The Spirit Of The Position

The Executive Coordinator, Office of the CEO provides high-level administrative, strategic, and communications support to the CEO. This role ensures seamless operations across calendars, travel, meetings, communications, and special projects. As a company devoted to a people-first, servant‑leadership culture, this role is central to supporting executive initiatives, amplifying the CEO’s strategic voice, and fostering an efficient, positive environment across the organization.

In addition to core administrative duties, this position functions as an extension of the CEO managing executive communications, supporting social media presence, drafting press releases and speeches, and providing Chief of Staff level support for cross‑functional initiatives.

Responsibilities Executive Administrative Support
  • Provide high-level administrative support including calendar management, travel coordination, meeting preparation, and prioritization of competing demands.
  • Maintain and process executive expense reports on a weekly/biweekly basis.
  • Manage conference room scheduling and logistics for internal and guest meetings.
  • Plan and execute executive events such as retreats, team meetings, and leadership offsites.
  • Assist with answering incoming calls and returning voicemails for clients during peak times.
  • Support additional duties and special projects as assigned.
CEO Social Media & Brand Management
  • Manage and enhance the CEO’s professional social media presence (Linked In, Facebook, etc.).
  • Draft posts, thought leadership content, and engagement responses aligned with strategic messaging.
  • Monitor industry trends, competitor communications, and relevant news to surface timely content opportunities.
  • Coordinate posting schedules, analytics tracking, and audience engagement strategies.
  • Ensure brand voice consistency across platforms.
Strategic Communications
  • Draft, edit, and finalize press releases, executive statements, and organizational announcements.
  • Write speeches, presentations, and briefing documents for internal and external events.
  • Prepare talking points, Q&A, and messaging for media interactions and leadership forums.
  • Collaborate with marketing and external partners to ensure accuracy and alignment with organizational priorities.
  • Support internal communications, including CEO memos, newsletters, and updates.
Strategic Support
  • Act as a key partner to the CEO in prioritizing initiatives, managing workflows, and driving accountability across teams.
  • Facilitate cross‑functional coordination by preparing agendas, tracking action items, and ensuring follow‑through on strategic goals.
  • Conduct research and prepare summaries, briefs, and recommendations to support executive decision‑making.
  • Act as a liaison between the CEO and internal/external stakeholders to ensure clarity, alignment, and timely communication.
  • Support operational efficiency by identifying process gaps and proposing solutions.
Education
  • Associate’s degree preferred.
  • Bachelor’s degree in Communications, Business, Marketing, or related field strongly preferred.
Skills
  • Advanced Microsoft Office 365 skills (PowerPoint, Word, Excel, Outlook) and strong internet research capabilities.
  • Exceptional writing and editing abilities for speeches, press releases, and executive communications.
  • Strong understanding of social media platforms, analytics, and brand‑building best practices.
  • Proven ability to manage multiple tasks and meet deadlines in a fast‑paced environment.
