Legal Secretary/Executive Assistant — Trusts & Estates
Our firm is seeking an experienced Trusts & Estates Legal Secretary / Executive Assistant to provide dedicated support to the department lead of our Trusts & Estates practice. This role requires a highly organized, self‑directed professional with exceptional client communication skills and the ability to thrive in a fast‑paced, deadline‑driven, and occasionally high‑stress environment. The ideal candidate will anticipate attorney and client needs and manage competing priorities.
Key Responsibilities- Build and maintain strong client relationships in person and by phone with professionalism and discretion.
- Manage attorney calendar, schedule meetings, coordinate appointments, and maintain accurate contact information.
- Prepare attorney for meetings by organizing files, assembling documents, and delivering all relevant materials and information in advance.
- Track critical deadlines, key dates, and matter timelines to ensure nothing is missed.
- Open, organize, maintain, and close client files in compliance with firm standards.
- Maintain orderly and up‑to‑date client records and databases.
- Manage priorities proactively to ensure deadlines are never missed.
- Answer client inquiries promptly and professionally.
- Minimum of 5 years of administrative or executive support experience (legal administrative experience strongly preferred).
- Minimum of 5 years supporting a senior professional in a document‑intensive, client‑facing environment.
- Proven ability to perform in a high‑paced and occasionally stressful work setting.
- Advanced proficiency in Microsoft Office Suite.
- Exceptional time management and multitasking skills, with a demonstrated record of meeting firm deadlines.
- Self‑starting professional who works independently and takes initiative.
- Superior verbal and written communication skills.
- Excellent organizational skills and meticulous attention to detail.
- Ability to relate to clients with patience, confidence, and professionalism.
- Ability to anticipate needs, solve problems proactively, and stay composed under pressure.
- Demonstrated discretion when handling confidential and personal client information.
