Job Overview
The post holder will be part of the Endoscopy Access Team and will be responsible for day to day coordination and compiling of waiting lists and adding of patients to these waiting lists.
The post will require close work with the polyp nurse specialist and general anaesthetic pre‑assessment nurses, providing comprehensive administrative support to the Endoscopy Department. The role calls for autonomy with initiative, adherence to operational procedures, and seeking supervisor guidance when needed. A positive, proactive and professional approach is essential. The position includes telephone enquiries, empathy, and high patient satisfaction. It aims to deliver a first‑class service to patients and users of the Endoscopy service and support the service requirements.
Mainduties of the job
- Communicate effectively with a range of people, either in person or on the telephone, promptly and in a professional and courteous manner while recognising barriers to communication.
- Respond to enquiries and take appropriate action on behalf of the service either by telephone, personal contact or correspondence within agreed time limits.
- Liaise with all relevant departments involved in providing care and core services to ensure the smooth progression of the patient pathway.
- Provide excellent front‑of‑house service when covering Endoscopy receptions.
- Deal sensitively with any complaints, problems or issues arising, highlighting and referring problems where necessary to supervisors.
- Provide expert advice on aspects of the patient’s care within defined boundaries and limits.
- Establish and maintain electronic and manual filing systems.
- Cover other members of the Endoscopy admin team when required, which may mean working on other sites.
- Actively support and contribute to the requirements of the pre‑assessment service and the endoscopy unit.

Person specification Knowledge And Experience Essential criteria- Administrative experience in a hospital environment.
- Experience of working to and implementing local policies and procedures.
- Understanding of information governance and confidentiality.
- Administrative experience in an Endoscopy department or a Bowel Cancer Screening Centre.
- Excellent professional and confident communication skills, both written and verbal with the ability to understand and relay complex information to people at all levels.
- Ability to plan and manage own work schedule.
- Self‑starter with excellent time management skills and ability to demonstrate initiative.
- Demonstrate commitment to Trust HEART values – Honesty, Equity, Accountability, Respect, and Teamwork.
- Administrative experience in an Endoscopy department or a Bowel Cancer Screening Centre.
- Educated to GCSE’s Grade C or above or equivalent qualifications e.g. 'O' Levels.
