Regular, 10 mo., PT (20hrs/wk), M-F
- Serve as the receptionist for the Roselawn 2nd and 3rd floors.
- Create a welcoming and professional environment while assisting students, faculty, staff, and visitors.
- Hire, coordinate schedules and supervise work study students.
- Manage the Roselawn main phone line, directing calls to the appropriate offices and providing information as requested.
- Assist with project and event planning for the assigned academic programs.
- Maintain electronic and paper filing systems as assigned.
- Complete basic data entry for academic programs.
- Remit invoices and reimbursement requests.
- Schedule and handle details for multiple recurring meetings/events.
- Prepare agendas and schedules for meetings as assigned.
- Record and distribute minutes or other records for meetings.
- Maintain office supplies and staff lounge spaces and coordinate maintenance of office equipment.
- Distribute and collect mail for Roselawn building employees.
- Perform additional duties as assigned.
- Demonstrated administrative proficiency and organizational skills.
- Ability to organize and maintain computerized systems.
- Attention to detail for accurately preparing and maintaining meeting minutes and files.
- Ability to maintain confidential information and materials.
- Good memory skills for recalling dates, people, events, and record locations in order to retrieve and communicate information when asked.
- Ability to set goals, prioritize and organize job tasks and workload in order to meet deadlines, with ability to complete work in a timely manner and communicate progress routinely.
- Ability to use a PC and software such as Windows, Microsoft Office, and Google Suite.
- Ability to operate commonly used office equipment such as a copy machine, fax, phone, etc.
- Ability to communicate effectively in writing and verbally with a wide variety of constituents.
- Demonstrated ability to work and communicate effectively and professionally with all constituencies of a diverse community.
- Ability to problem solve to assist others in decision making.
Associate’s degree, and a minimum of 2 years of office management experience, or an equivalent combination of experience, education, and training. Bachelor’s degree preferred. Work experience in higher education setting preferred.
Physical RequirementsWhile performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to sit and use hands and fingers to handle, or feel. The employee is occasionally required to stand, walk, and climb or balance. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision.
The employee must occasionally travel to meetings and conferences off campus.
Will supervise student staff members.
