The office of accounting technology within the office of accounting operations and disbursements is accepting applications for a Vendors and Records Management Specialist position to assist our team with duties related to accurate vendor data collection and vendor table maintenance, and general office duties.
- Part-time wage position with no benefits
- Hours are typically during normal business hours of 8am – 5pm, working on average 5‑8 hours per day (no weekends required)
- Approximately 25‑29 hours of work per week over the course of a calendar year
- On‑campus position (not remote) in an office environment setting
- Practice detailed vendor maintenance procedures to ensure accurate information is captured.
- Perform accurate vendor data collection and vendor table maintenance to meet the needs of the University, People Soft Finance and Cardinal systems.
- Scan documents into an electronic filing system.
- Run reports in a timely manner and ensuring data is accurate.
- Provide professional, courteous service to internal and external customers while maintaining a positive attitude and work ethic.
- Demonstrate willingness and ability to learn accounting concepts, principles, and business processes to reconcile budgets.
- Demonstrate willingness and ability to perform additional tasks as needed and provide team support.
- Understand and maintain the confidentiality of financial and personal data used according to university policy, state and federal law.
- Understand and abide by the Finance Office Ethics Statement, as well as any internal controls established by management.
Required:
- Demonstrated proficiency with computers, software applications and Microsoft Office applications, including Word, Excel and Outlook
- Demonstrated typing and data entry skills
- Knowledge of administrative practices and procedures
- Strong verbal and written communication skills
- Excellent customer service and people skills to provide a welcoming environment
- Ability to process detailed work with accuracy and efficiency
- Ability to manage confidential and sensitive information
- Ability to work independently, manage and prioritize multiple tasks with excellent problem‑solving skills
- Must be available to work up to 29 hours per week during office hours of 8am – 5pm on a Monday through Friday schedule (5‑8 hours per day, depending on schedule)
Additional Considerations:
- Experience working with databases and data entry
- Proficiency in advanced Microsoft Excel functionalities
- Knowledge of accounting concepts, principles, and business processes
- Ability to learn technology applications quickly
- Previous office experience
