Summary
The General Clerk I is responsible for supporting document digitization processes by preparing, scanning, auditing and reviewing microfilm and microfiche images to ensure accurate and high-quality digital conversion. This role involves scanning, adjusting basic settings for optimal image capture, reviewing image frames for clarity and proper document breaks, and performing data entry and indexing tasks. The position requires attention to detail, basic analytical skills, and the ability to follow established procedures to maintain quality standards.

Duties
Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. The following duties and responsibilities will be rated on the Annual Performance Review:
- Prepare and organize microfilm and microfiche reels for digitization.
- Operate scanning equipment to capture images according to established quality standards.
- Perform audit checks on digitized images to verify visual accuracy and correct any framing or alignment issues.
- Review scanned images for proper document breaks, clarity and completeness.
- Enter indexing data accurately into the system to ensure proper file naming conventions.
- Follow established workflows and quality assurance procedures throughout the digitization process.
- Maintain accurate records of completed work and report any discrepancies or issues promptly.
- Communicate effectively with team members and supervisors regarding progress, issues, or process improvements.
- Adhere to confidentiality and data security guidelines when handling sensitive documents.
- Perform other related clerical tasks, as assigned to support the digitization project.
- Adhere to assigned work schedule in alignment with contract and site requirements (e.g., 7:00 a.m.
-3:30 p.m. or 7:30 a.m.
-4:00 p.m.).

Qualifications:
Education, Experience, and Certification(s)
- High school diploma or equivalent required.
- One year of experience in data entry, clerical work, or a similar role requiring accuracy and attention to detail while keying data (preferred)
- No certifications required; however, prior experience in document scanning or digitization is preferred.
Knowledge, Skills, and Abilities
Knowledge
- Basic understanding of computer operations and file management.
- Familiarity with standard office practices and procedures.
Skills
- Proficient in operating a computer and navigating basic computer applications such as Word and Excel.
- Ability to type accurately and efficiently.
- Proficient in the use of a 10-key number pad on a computer keyboard.
- Good reading and writing skills for interpreting and entering data.
- Excellent verbal communication skills for team coordination.
Abilities
- Ability to meet productivity, quantitative deliverables and quality standards in a structured workflow environment.
- Ability to perform routine scanning-related tasks following established procedures.
- Ability to work on repetitive tasks for extended periods with minimal supervision.
- Ability to interpret instructions furnished in written, oral, diagram, or schedule form.
- Ability to maintain focus and accuracy during high-volume production work.
- Ability to handle sensitive information with confidentiality.
- Ability to perform computer-based tasks for extended periods, including prolonged screen time, while maintaining accuracy and focus.
- Ability to maintain consistent attendance and punctuality to meet operational and contractual requirements.
