Office Support Administrator II – Harlingen, TX
We are looking for an Office Support Administrator II in our Harlingen, TX office. This role provides above basic level administrative support, assisting the Regional Office Administrator with office-wide administrative and coordination activities including project management, task management, office newsletter communication, and corporate tasks as needed.
Essential Functions- Ensures cleanliness of all office areas (outside of janitorial services).
- Orders, checks in, and distributes general office supplies.
- General typing, copying, printing, and binding.
- Scans and sends documents to clients, sub‑consultants, and other Garver offices.
- Scans documents to electronic files.
- Basic data entry in information systems and databases.
- Assists with fleet vehicle tag renewals.
- Plans, coordinates, executes, facilitates, and cleans up office events.
- Assists with travel arrangements.
- Coordinates meetings and lunch and learns (meals, venue, AV).
- Assists with agendas and meeting minutes, attends meetings as needed.
- Codes, routes, tracks, and records office related invoices/expenses.
- Prepares expense reports.
- Maintains calendars for staff, conference rooms, vehicles, etc.
- Generates simple documents such as letters, memos, spreadsheets, and presentations.
- Generates weekly office newsletter.
- Provides dedicated administrative support to the ROA, including agenda generation for leadership meetings, coordinating office planning efforts, project management and coordination, and other administrative tasks.
- Drives and champions Garver culture initiatives/Garver Ambassador.
- Other duties as assigned.
High School Diploma or equivalent.
College level courses or professional certifications (preferred).
Experience Required3 or more years of professional experience.
Licenses/CredentialsValid Driver's License.
Preferred Qualifications- Basic IT experience.
Knowledge of:
- Standard office equipment.
- Microsoft Office.
- Word processing, spreadsheets, presentations, and document creation.
- Asana (preferred).
- Mailchimp (preferred).
Skill In:
- Project Management.
- Change Management.
- Organizational and prioritization skills.
- Communication and teamwork.
- Data entry/keyboarding.
- Customer service.
Ability:
- Exceptional attention to detail and follow through.
- Capability to become trainer within the office support track.
- Operate standard office equipment (printing, scanning, faxing, copying, etc.).
- Problem‑solve and assist team(s) as needed.
- Ability to sit for long periods of time.
- Lifting or carrying up to 30 pounds.

- Keyboarding.
- Driving.
- Stooping, crouching, or kneeling.
- Ability to hear, understand, and distinguish speech.
- Visual acuity to read printed materials and screens.
