Summary
The primary purpose of the position is to organize and maintain the day to day administrative operations of the Health Information Management (HIM) Service. The various responsibilities of the Program Support Assistant (PSA) result in involvement on a daily basis with the Service Chief, Assistant Service Chief, Record Manager, Administrative Officer, and other multidisciplinary staff throughout the Valley Coastal Bend Health Care System.
QualificationsTo qualify for this position, applicants must meet all requirements by the closing date of this announcement – 02/27/2026. You may qualify based on your experience and/or education as described below:
- Specialized
Experience:
You must have one year of specialized experience equivalent to at least the next lower grade GS‑04 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include – but are not limited to: providing administrative support; collecting, compiling and tracking data and information; processing documents and reports; establishing, updating and maintaining office files and records;
performing automation duties using such software applications as word processing, spreadsheet, electronic mail, desktop publishing, calendar, database and/or graphics; answering telephones; referring visitors; and providing information.
NOTE:
Experience must be fully documented on your resume and must include job title, duties, month and year start/end dates, and hours worked per week. - Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have successfully completed four (4) years of education above the high school level in any field; high school graduation or the equivalent is the normal prerequisite. (TRANSCRIPT REQUIRED).
- Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education beyond the second year (in excess of the first 60 semester hours post high school) and specialized experience as described above – which meet the total experience requirements for this grade level. (TRANSCRIPT REQUIRED).
- Typing skill of 40 words per minute is necessary.

- Duties include but are not limited to:
Participates by assisting in the planning, review, and reporting of data/statistical results of the program. - Establishes and organizes computerized data sets and retrieves computerized data.
- Generates a variety of reports based upon the data pulls performed.
- Identifies, initiates and organizes process for data collection for the program.
- Reviews documents and reports and ensures data entry is complete and accurate.
- Enters pertinent information into an automated tracking system.
- Maintains automated system of program-specific data to track and works with the Service Chief and/or Administrative Officer to implement a plan of action based on the data.
- Supports the HIM staff with timely completion of regular reports – controlling correspondence and action documents – regularly monitoring of the program's budget – and composes correspondence on own initiative.
- Prepares regular and recurring reports and other statistical data as it relates to scanning – HIT functions – Coding – CDI – ROI – Record Management – and fund control point management.
- The incumbent reviews provider coding training report to ensure 100% one on one provider feedback/training is provided as result of coding accuracy audits.
- Assists the Coding Supervisor with scheduling any missed training opportunities.
- The incumbent compiles monthly report with percentage trained and progress of accuracy rates per fiscal year.
- The incumbent reviews incomplete or ineligible medical records and assists with obtaining a valid copy of records for indexing purposes.
- The incumbent serves as Notary Public for HIM Service and throughout the Valley Coastal Bend Health Care System.
