Reporting to the Senior Development Manager, the Executive Assistant to the Director’s Office provides administrative support to both the Howard Gilman ’44 Executive Director and institutional advancement at the Hopkins Center for the Arts (the Hop). Responsibilities include scheduling, logistic planning and reconciliation, event support and execution, writing, database management, and daily communication management.
Required Qualifications- Bachelor’s degree or equivalent.
- 1-3 years of experience supporting a leadership position.
- Excellent interpersonal skills and ability to deal articulately with diverse people and situations.
- Strong organizational skills; ability to balance priorities and meet deadlines.
- Initiative, sound judgment, and ability to work independently.
- Strong writing, detail editing, and proofreading skills.
- Technologically savvy with computers, applications, databases, tablets, and smartphones.
- Availability and willingness to work occasional weekend and evening assignments.
- Commitment to diversity and serving diverse populations.
- Adept at handling confidential information with excellent judgment and discretion.
- Willingness to utilize all forms of communication to ensure efficiency and expediency.
- Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams), Adobe Acrobat, Zoom, and cloud-based applications.
- Flexible, creative, self-motivated, and willing to work extended hours on occasion.
- Keen interest in the arts.
- Experience with software platforms Airtable, Advance, Tessitura, Slack, and/or Asana.
- Comfortable navigating Apple and PC platforms.
- Serve as first point of contact for the Hopkins Center Director’s Office.
- Organize and manage scheduling, itineraries, travel, meetings, and events.
- Provide logistical planning and execution for events.
- Prepare and disseminate meeting communications and documents; take notes and ensure follow-up.
- Bridge communication between Executive Director and internal departments to maintain credibility, trust, and support.
- Offer technical support, including software upgrades and coordination of technology.
- Assist the Senior Development Manager in fundraising functions: accurate gift recording, acknowledgment, database integrity, membership management, and reporting.
- Support development activities such as website, social media, e-newsletters, promotional materials, and internal communications.
- May manage or supervise student assistants, including training.
- Perform additional duties as assigned.
- Demonstrate professionalism and collegiality in all interactions.
- Maintain records, process renewals, and ensure accurate constituent data across platforms.
