Job summary and responsibilities describe the Administrative Assistant III role, reporting to the Administrative Services Director and supporting the Administrative Services Department.

Responsibilities
  • Conserve Administrative Services Director s time by tracking and routing correspondence, mail, contracts, grants, and other related documentation.
  • May draft letters and documents, initiating telecommunications.
  • Communicate clearly with the Administrative Services Director regarding organizational needs, appointments and commitments.
  • Greet guests and staff in person or by telephone, answering or directing inquiries.
  • Support the Administrative Services Director by scheduling meetings, sharing information, compiling monthly board committee packets, and may serve as the Recorder as needed.
  • Assist in maintaining appointment schedules by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Provide administrative support to all Administrative Services areas, including the Finance and Human Resources Departments.
  • Occasionally support other Administration and Executive Departments as needed.
  • Submit inquiries or requests regarding personnel action forms on behalf of the Administrative Services Director.
  • Maintain records, reports, and logs pertaining to various flow processes; produce information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
  • Perform general office duties including data compilation for reports, filing, and maintaining correspondence.
  • Maintain confidentiality of sensitive information.
  • Gather and compile information anticipating the needs of the Administrative Services Director and department.
  • Manage department keys and equipment (e.g., spare laptops) and coordinate check-in/out as needed.
  • Coordinate vehicle check outs and submit facilities and IT tickets as needed.
  • Ensure operation of office equipment by preventive maintenance and troubleshooting; evaluate new equipment and techniques.
  • Prepare purchase requisitions and check requests in accordance with Fiscal procedures.
  • Maintain office supplies and assist with meeting preparations and coordination.
  • Prepare monthly and annual reports as requested; assist with department meetings and staff events as needed.
  • May serve on committees and act as a department representative; may provide front desk coverage as needed.
  • Record meetings as requested; maintain professional and technical knowledge through workshops or training; attend necessary meetings and conferences.
  • Perform other duties as assigned.
Education/Experience
  • A.A. degree in Business Administration or related field.
  • AND
  • A minimum of two years administrative support experience to a department manager or director.
  • OR
  • High School diploma or equivalent AND a minimum of five years administrative support experience to a department manager or director.
Other Requirements
  • Travel and attend out of area meetings and conferences as required per funding source(s).
  • Work variable hours and days, including outside regular business hours.
  • Meet KCAO hiring requirements which include criminal record clearance (California DOJ, FBI, CACI, NSOPW, CSAR), health examination with tuberculin clearance, and ability to be contacted outside normal hours in case of emergency.
