SUMMARY:
Serves as secretary to the principal and as facilitator for the school/public being served in communicating information, problem solving, material acquisition, cash handling, record keeping and building permits.
ESSENTIAL DUTIES AND RESPONSIBILITIES
* Regular, dependable attendance is a critical performance factor to ensure consistent, high quality services to children and families.
* Makes and receives telephone calls, takes messages, route calls, set appointments.
* Maintains school records and files for building, principal and related requirements.
* Greets visitors.
* Maintain the security of the building by authorizing entrance into the building.
* Processes entry/withdrawal of students, both paper and electronic records.
* Facilitates the scheduling of students in student management system.
* Types, prepares, distributes, files records/reports, correspondence, mailings, etc. related to building functions and principal needs.
* Assists principal in the organization of volunteers to the building.
* Facilitates the subsystem for the bldg. (Make sure rooms are covered when jobs are unfilled. Reconcile absences. Edit or delete sub jobs if they are inputted incorrectly.)
* Track teacher/staff PD forms to reconcile with sub requests.
* Collect and look over time sheets and/or activity logs for building staff.
* Maintain membership/count day audit binder two times a year.
* Maintain Trust & Agency account; prepare checks, make deposits.
* Takes/transcribes notes for correspondence.
* Schedules use of building & provides weekly building schedule to custodial service.
* Kindergarten Roundup preparation.
* Attends Open House and Conferences.
* Orders, processes, building and/or office materials.
* Serves as confidential secretary to the principal.
* Provides appropriate first aid needs.
* Administers medication according to policy and regulations to include insulin treatments, inhalers, nebulizers, and epi pens.
* Operates and maintains standard office equipment (Refill laminating film & fix copy machine before service is called. Maintain copy codes for copy machine).
* Facilitates mass communication to parents, students, community member, and specific groups either in written or verbal format, including newsletters, as directed by the administration.
* Complete morning announcements and interim announcements by using school intercom system.
* Coordinates transportation for field trips.
* Other duties as assigned.
Qualifications:
Education/ Certification:
* High School diploma or Equivalent
Special Knowledge/
Skills:
* Strong written and verbal communication, interpersonal, and customer-service skills
* Performs basic mathematical calculations
* Basic bookkeeping skills
* Computer literacy and proficiency in Microsoft Office, including the willingness to learn and use new computer programs/applications. Knowledge of Google Docs and E-Mail is a plus.
* Ability to prioritize and multi-task in a fast-paced environment
* Ability to develop effective working relationships with all students, staff and the school community.
* Ability to perform duties with awareness of all district requirements and policies.
* Experience working with students in a diverse, multicultural academic setting preferred
* Ability to perform duties of a sensitive & confidential nature
* Bilingual preferred
Experience:
* 3-5 years' experience in an educational office environment preferred
* Knowledge of District software (Microsoft Office Suite, Skyward, Google) preferred
* Ability to communicate clearly both orally and in writing

LANGUAGE
SKILLS:
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of administrators, staff and the general public.
MATHEMATICAL
SKILLS:
Ability to work with mathematical concepts such as probability and statistical inference, and fundamentals of plan and solid geometry and trigonometry. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
REASONING ABILITY:
