McMaster University is seeking a strategic and collaborative Academic and Administrative Manager to lead the faculty lifecycle and academic administrative operations within the Department of Medicine. Reporting to the Director of Administration, this role provides leadership across faculty recruitment, appointment, promotion and tenure, retention, and workforce planning.

This position plays a critical role in supporting the Department Chair and senior leadership by ensuring academic human resources processes align with university policies, employment frameworks, and strategic priorities. The Academic and Administrative Manager also leads and develops administrative staff and fosters a culture of collaboration, service excellence, and continuous improvement.

As the largest department within the Faculty of Health Sciences, the Department of Medicine includes over 300 full-time faculty, 500+ associate faculty, and 400 staff across multiple campuses and affiliated hospital sites. The Department manages over $125 million in funding, supports residency and fellowship programs, and is home to leading research institutes and academic programs. Key Responsibilities Strategic Leadership – Faculty Lifecycle
  • Provide leadership across the full faculty lifecycle, including recruitment, appointments, promotion and tenure, retention, and separation processes
  • Advise the Chair and senior leadership on academic human resources strategy, workforce planning, and faculty development initiatives
  • Lead complex faculty recruitment processes, ensuring compliance with university policies, equity principles, and regulatory requirements
  • Oversee faculty onboarding, mentorship, career progression, and engagement initiatives
  • Provide oversight of Clinical Scholar appointment and lifecycle processes
Academic HR and Policy Leadership
  • Serve as a trusted advisor on faculty policies, collective agreements, and academic appointment processes
  • Ensure compliance with institutional policies, employment legislation, and academic governance requirements
  • Lead employment equity initiatives and support inclusive recruitment practices
  • Oversee performance and merit review processes, annual faculty agreements, and promotion and tenure cycles
Data, Reporting and Strategic Planning
  • Lead development of reports, workforce analytics, and briefing materials to inform departmental planning and decision-making
  • Maintain accurate faculty records and workforce data to support operational and strategic objectives

    Contribute to strategic planning initiatives that strengthen academic and operational effectiveness
Relationship Management and Collaboration
  • Build strong partnerships with Faculty Relations, Human Resources, hospital partners, and academic leadership
  • Collaborate with internal and external stakeholders to support faculty recruitment and workforce alignment
  • Support departmental communications, events, and strategic initiatives
  • Provide leadership, coaching, and performance management to administrative staff supporting faculty processes
  • Foster an inclusive, collaborative, and high-performing team environment
  • Model McMaster’s Leadership Capabilities, including strategic thinking, collaboration, and people development
Qualifications Education
  • Undergraduate degree in Business Administration, Human Resources, or a related field
  • CHRP or CHRL designation is considered an asset
Experience
  • 3–5 years of leadership experience in an academic, healthcare, or complex organizational environment
  • Minimum 7 years of progressive administrative experience
  • Experience supporting academic faculty processes, recruitment, or academic HR is strongly preferred
