Position:
Administrative Support Specialist (Part‑time / Casual) in the Hamilton Regional Laboratory Medicine Program (HRLMP) eph's Healthcare Hamilton.

  • Wage Rate: $28.87 – $31.37 hourly (plus 14 % in lieu of benefits)
Responsibilities
  • Maintain confidentiality and release of information in accordance with hospital policy.
  • Enter public health reports, call critical test results to providers, register laboratory tests and consultations using Dovetale and HHS Epic.
  • Enter requisitions for regional consultations, triage, and prepare documentation to send specimens for specialized testing; look up results and monitor case status.
  • Prepare reports, agendas, minutes, databases, presentations and other materials as requested.
  • Troubleshoot issues with the Paradigm database and provide administrative support to laboratory staff.
  • Assist in administrative preparatory activities for laboratory accreditation.
  • Handle telephone calls, mail distribution, faxes, photocopying, e‑mails, correspondence filing and schedule meetings/appointments efficiently and accurately.
  • Support financial processes (RMA, OHIP billing, education trust fund accounts, travel expenses, purchase orders, requisitions, University Research accounts, timesheets, invoices, billing statements).
  • Ensure all supplies and services required by the Program are stocked and requisitioned in a timely manner.
  • Perform other office duties as assigned by the Manager.
Qualifications
  • Post‑secondary education in Office Administration – Health Services Diploma.
  • Minimum one‑year experience providing administrative support in a hospital setting.
  • 1–2 years’ experience in a laboratory setting is an asset.
  • Demonstrated knowledge of laboratory medical terminology (pathology and virology).
  • Experience using laboratory applications including Dovetale / EPIC, Clinical Connect to process requisitions and look up results for patient reporting.
  • Intermediate skill level in MS Office (Word, Excel, PowerPoint, Adobe). Professional required to prepare reports, agendas, minutes, presentations and educational materials.
  • Intermediate typing skill of 45 WPM.
  • Clerical testing may be required as part of the selection process.
  • Ability to work in a busy team environment, maintain professional relationships with colleagues while handling multiple tasks, conflicting priorities and frequent interruptions.
  • Advanced oral and written communication skills (grammatical aptitude, good spelling, punctuation, superior proofreading).
