The Human Resources Coordinator provides mid-level support across HR operations, employee relations, and recruitment activities. This role serves as a key point of contact for employees and applicants, coordinates day-to-day HR processes, and supports HR leadership in maintaining compliance, fostering employee engagement, and ensuring smooth HR workflows. The HR Coordinator bridges the gap between administrative HR support and higher-level HR generalist responsibilities.

Your Impact- Serves as the first point of contact for employees, visitors, and job applicants, ensuring a professional and welcoming environment.
- Greets and directs visitors, maintains the visitor log, and issues visitor badges in compliance with facility security policies.
- Responds to routine HR inquiries and schedules employees with HR leadership or HR Generalist as needed.
- Assist employees with navigating HR systems, benefit information, and company portals.
- Coordinates recruitment activities such as posting job openings, screening applications, and scheduling interviews for hiring managers.
- Maintains timely communication with candidates and ensures a positive applicant experience.
- Conduct employment verifications and support pre-hire processes such as background checks and document collection.
- Prepares onboarding materials, sets up new hire badges, assists with orientation logistics, and ensures completion of all required new-hire forms.
- Updates and maintains accurate employee records in the HRIS system, including new hires, status changes, and personnel documents.
- Assist the HR Generalist and leadership with compliance tasks, including training documentation, policy updates, and required postings.
- Tracks and manages HR related inventory (badges, office supplies, recognition items, forms).
- Help ensure compliance with workplace safety procedures and supports communication with the facility safety committee.
- Provides support during employee meetings, investigations, or follow-ups as directed by the HR Generalist or HR Manager.
- Assist in preparing communication materials such as announcements, policy reminders, and recognition postings.
- Helps coordinate employee engagement events and morale-boosting initiatives.
- Creates and maintains efficient filing systems, ensuring HR documents are organized and accessible.
- Utilizes Microsoft Office Suite for correspondence, reporting, and data entry.
- Manages phone calls and emails, responding professionally and efficiently to inquiries.
- Maintains and organizes the professional front office and HR workspace.
- Performs other duties as assigned.
- Previous experience as an HR assistant, receptionist, or in a related administrative role preferred.
- Familiarity with office equipment such as printers, copiers, and fax machines.
- Experience with HR software (such as UKG) is a plus.
- Strong verbal and written communication skills.
- Excellent customer service skills with a friendly and professional demeanor.
- Strong organizational skills and attention to detail.
- Ability to handle confidential information with integrity and professionalism.
- Ability to manage multiple tasks, prioritize, and adapt in a fast-paced environment.
- Problem-solving skills with the ability to work under pressure.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Professional phone etiquette and ability to interact effectively with employees at all levels.
- Bilingual a plus.
