JOB DESCRIPTION - ADMINISTRATION - DEPUTY MANAGER
We are seeking an experienced and proactive Admin Manager to oversee facility operations and ensure smooth day-to-day administrative functioning at our office. The role involves managing vendors, infrastructure, compliance, and workplace services while maintaining high standards of efficiency and cost control.
Key Responsibilities:
Facility & Infrastructure Management
Oversee overall office administration, maintenance, and infrastructure management.
Ensure smooth functioning of utilities, housekeeping, security, and office equipment.
Manage space planning, seating arrangements, and office expansion requirements.
Vendor & Cost Management
Identify, onboard, and manage vendors for housekeeping, security, transport, cafeteria, and other services.
Negotiate contracts and ensure cost optimization without compromising service quality.
Monitor vendor performance and ensure timely payments and documentation.
Compliance & Safety
Ensure statutory and safety compliance related to office premises.
Maintain records related to licenses, inspections, fire safety, and building regulations.
Conduct periodic safety audits and emergency preparedness drills.
Employee & Workplace Experience
Ensure a safe, clean, and employee-friendly workplace environment.
Address employee queries related to facilities and administrative support.
Support office events, leadership visits, and internal engagements.
Asset & Inventory Management
Maintain records of office assets and ensure proper tracking and upkeep.
Monitor procurement of office supplies and control inventory levels.
Qualifications & Skills:
Graduate in any discipline (MBA preferred).
5–8 years of experience in administration/facilities management, preferably in a corporate setup.
Strong vendor management and negotiation skills.
Knowledge of statutory and safety compliance requirements.
Good problem solving, coordination, and multitasking abilities.
Proficiency in MS Excel and basic reporting.
