Hiring Executive Assistant to Managing Director to work with an award winning agency in Mumbai And Gurugram

Job Summary:

The Executive Assistant will provide high-level administrative support to the Director, ensuring smooth and efficient business operations. The role demands strong organizational, communication, and multitasking skills, and the ability to handle sensitive information with utmost confidentiality.

Key Responsibilities:

Manage the Director's calendar, schedule meetings, appointments, and travel arrangements.
Coordinate and prepare agendas, minutes, presentations, and reports for internal and external meetings.
Act as a liaison between the Director and internal/external stakeholders.
Handle correspondence, emails, phone calls, and respond on behalf of the Director where appropriate.
Organize and maintain files, records, and confidential documents.
Track and follow up on various projects, tasks, and deadlines.
Plan and coordinate events, conferences, and business engagements.
Assist in the preparation of budgets, expense reports, and reimbursements.
Conduct research and compile data to support strategic decision-making.
Maintain discretion and confidentiality in relationships and information.

Required Skills and Qualifications:

Bachelor's degree in Business Administration, Management, or related field.
Proven experience (3–6 years) as an Executive Assistant or in a similar role supporting senior leadership.
Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook).
Excellent verbal and written communication skills.
Strong organizational, time-management, and multitasking abilities.
Professional discretion and a high level of integrity.
Proactive approach to problem-solving and attention to detail.

Preferred Qualifications:

Prior experience working in a fast-paced corporate or startup environment.
Familiarity with digital tools like Zoom, Slack, Google Workspace, or CRM platforms.
Knowledge of business etiquette and corporate communication protocols.

Working Conditions:

May be required to work outside standard business hours or travel occasionally as per business needs.
