About the Role
We are seeking a detail-oriented People Operations Administrator to join our People Team and provide critical administrative support to our US-based operations. This role will serve as an essential operational liaison, managing day-to-day HR administrative tasks, compliance activities, and coordination functions that keep our people operations running smoothly. The ideal candidate will be highly organized, proactive, and comfortable working across time zones to support our growing team.
Key Responsibilities
• Create monthly dashboards on headcount, turnover, etc.
• Generate and distribute regular HR reports as required
• Audit and standardize employee data in HCM
• Maintain accurate employee records and documentation
• Track I-9 expiration dates, send reminders, and maintain audit logs
• Process and manage all HR-related invoices
• Monitor license renewal deadlines and proactively follow up to ensure timely compliance
• Support pays for transparency auditing processes and maintains related documentation
• Create and maintain L&D presentations and materials
• Coordinate training sessions and track completion
• Manage course enrollment and certification tracking
• Process and track CPE (Continuing Professional Education) certificates and maintain records in LC Vista
• Manage new course intake forms and ensure proper documentation in LC Vista system
• Track mandatory training completion and follow up with team members who do not attend required training sessions
• Provide general administrative support to the People Team as needed
• Monitor benefits enrollment periods and generate participation reports
• Support development of compensation ranges utilizing external resources, including Mercer data
• Create and maintain standard operating procedures (SOP) for HR processes
• Coordinate interview schedules
• Accurately post job requisitions in Workday
Qualifications Required
• Bachelor's degree in Human Resources, Business Administration, or related field
• 1-3 years of experience in HR administration or similar administrative role
• Strong proficiency in Microsoft Office Suite (Excel, Word, PowerPoint)
• Excellent written and verbal communication skills in English
• High attention to detail and accuracy in documentation
• Strong organizational skills with ability to manage multiple priorities
• Comfortable working flexible hours to collaborate with US-based team Preferred
• Experience with Workday (LC Vista experience a plus)
• Familiarity with US employment practices and compliance requirements
• Previous experience in a professional services environment
• Knowledge of credentialing and licensing processes Technical Skills
• HRIS/database management;
Workday preferred
• Microsoft Excel (intermediate to advanced)
• Presentation software (PowerPoint/Google Slides)
• Document management systems
• Video conferencing platforms (Zoom, Microsoft Teams)
