Summary of Role

The Executive Assistant ensures a smooth daily routine for the CEO and Tax Strategy Department. This position is the “right-hand” to the CEO for any support items she may need throughout a day, allowing her to focus where needed. This person must be a self-starter, proactive with a positive attitude, discreet and highly trustworthy with Company information. Thrives in a fast-paced environment, handling multiple priorities with confidence and urgency.

Not afraid to ask questions or find clarity, this person must be “in step” with the CEO at all times, and have the ability to pivot where needed. We are looking for a highly competent individual that has the ability to think through any process and bring solution options to the CEO. Upon successful completion of the training and probationary period (60 days), an additional $1 will be added to the hourly rate, making it $19/hr for this position.

Core

Responsibilities
  • The majority of this position will be project management and supporting the CEO for meetings, note taking, follow-up, booking travel, and responding to client questions.
  • Daily assistance with client needs, responding to client questions, emails, and operations support.
  • Some travel may be required, must be flexible to assist the CEO where needed or during events.
  • Personal assistance will also be required for ad hoc items to support the CEO where needed.
  • Must be reliable, on-time and with a positive attitude - this position impacts the CEO and therefore the entire company, and helps ensure efficiency.
  • Ensures effective communication on behalf of the CEO to the rest of the Company for schedules, meetings, events, changes, deadlines, etc.
  • Serve as the primary liaison with outside vendors for the CEO.
  • Coordinate annual scheduling of speaking engagements with tax season deadlines.
  • Maintain accurate office records, filing systems, and databases, ensuring confidentiality of sensitive information.
  • Assist with invoice processing for tax strategy and sales items, expense reporting, and ad hoc entry items for operations as needed.
  • Actively identifies opportunities to improve office processes, systems, and workflows.
Required

Skills & Qualifications

Experience: 2+ years in office administration, coordination, or a customer service related role. Experience in Google Workspace. Must have strong interpersonal skills; ability to work independently and as part of a team; professional demeanor. Be able to show proficiency in competencies listed below:

  • Attention to Detail – Ensures accuracy and quality in work products, documentation, and processes.
Nice-to-haves
  • Quick Books experience, processing invoices is a plus.
  • Experience in family-owned businesses and working with small to medium sized businesses.
  • Previous Executive Assistant to CEO position in an office environment supporting CEO objectives and acting on behalf of the CEO for scheduling, communication, client support, or operations follow-up.
  • Associates degree or higher in business, customer service, data management, or related fields.

This role is 100% in the office in Greer South Carolina. Standard work hours are Monday–Friday, 9:00 AM–5:00 PM, with overtime availability during the main tax season as needed. Availability during tax season (January 15 - April 15) is critical and non negotiable. Vacation and scheduled days off will be approved based on CEO schedule and on tax deadlines.
