Overview
The Receptionist is a highly organized and personable individual who serves as the first point of contact for visitors and callers. This role is responsible for managing the front desk, greeting guests, answering phones, and supporting daily office operations. The Receptionist ensures a welcoming environment and provides administrative support to various departments as needed. Strong communication skills, attention to detail, and the ability to multitask are essential.
EssentialResponsibilities

Front Desk & Guest Services- Answer and direct incoming phone calls in a professional manner
- Greet and assist visitors, ensuring a positive first impression
- Prepare lobby for guests (open/close window, turn on/off TV, straighten magazines, maintain guest log-in)
- Manage the welcome board and update PowerPoint displays as needed
- Schedule appointments, meetings, and conference calls as requested
- Maintain the guest area and ensure cleanliness and organization
- Collect, distribute, and manage incoming and outgoing mail
- Assist in setup/cleanup/take down of catered meals for luncheons and meetings
- Manage weekly supply orders and inventory (coffee, snacks, condiments, soft drinks, utensils)
- Oversee business center equipment (postage machine, copy machine)
- Load/unload dishwasher and maintain break room cleanliness
- Assist with maintaining conference room calendars
- Support miscellaneous tasks as assigned by office personnel or senior management
- Authorized to order office supplies and coordinate facility services as needed
- Ensure the front desk and guest areas are maintained to company standards. Provide accurate and courteous information to visitors and callers
Education: High School diploma required; college degree preferred
Experience: Six months to one year experience in a customer service or front desk environment preferred

- Ability to multitask and manage priorities
- Proficiency in Microsoft Office products
- Ability to work independently and as part of a team
- Prior experience in office administration or customer service preferred
- Must be able to work at least 40 hours each week from 8 am-5 pm
- Occasional evening and weekend work may be required as job duties demand
- Must have transportation to and from headquarters
- Frequently required to hear and talk
- Use of hands for keyboard usage
- Frequent sitting, standing and walking
- Occasional reaching with hands and arms, stooping, kneeling, and lifting and/or moving up to 30 pounds
- Must be able to work in a moderately loud work environment
