Our client is seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative and operational support to senior leadership. This role requires a detail-oriented professional who thrives in a fast-paced environment and can anticipate needs, manage competing priorities, and ensure seamless day-to-day operations.
Responsibilities:
- Manage complex and shifting calendars; prioritize meetings, resolve conflicts, and ensure leadership is fully prepared for engagements
- Coordinate domestic and international travel, including itineraries, accommodations, transportation, and expense reporting
- Organize and coordinate meetings, leadership sessions, and team events
- Track action items and follow up on deadlines to support project execution
- Serve as a point of contact between executives and internal/external stakeholders
- Draft, edit, and prepare professional correspondence, reports, and presentations
- Prepare meeting materials, briefings, and supporting documentation
- Maintain strict confidentiality and exercise sound judgment in handling sensitive information
- Process expenses and administrative workflows accurately and efficiently
- Maintain organized digital files, records, and documentation
- Work closely with cross-functional partners to support communication and information flow
- Partner with other administrative professionals to support leadership team operations
- Assist with coordination of vendor and partner engagements as needed
- Assist with research, data organization, and presentation formatting
- Support special projects to ensure timelines and deliverables are met
Requirements:
- 5+ years of Executive Assistant experience supporting senior-level leadership
- Exceptional organizational skills and attention to detail.
- Proven experience managing complex calendars and high-volume scheduling.
- Strong proficiency in Google Workspace and/or Microsoft Office Suite.
- Experience coordinating domestic and international travel.
- Excellent written and verbal communication skills.
- Ability to exercise discretion and maintain confidentiality.
- Demonstrated ability to operate independently in a fast-paced, evolving environment.
