Responsibilities

Position Summary The Onboarding Specialist plays a key role in ensuring a smooth, timely, and positive transition for all new hires. This position is responsible for coordinating the end-to-end onboarding process, including document collection, background and compliance requirements, system access, orientation scheduling, and acting as the first point of contact for new employees. The Onboarding Specialist partners closely with recruiting, credentialing, human resources, and operational leaders to deliver an engaging new hire experience while ensuring accuracy, compliance, and efficiency.

Reports To:

Director of Talent Readiness, Human Resources

Essential Duties and Responsibilities

* Manage the full onboarding process for new hires from offer acceptance to their first day of work.

* Coordinate and track completion of all pre-employment requirements, including background checks, drug screens, I-9s, employment eligibility verification, and licensure (as applicable).

* Ensure new hires complete all required documents, forms, and compliance training prior to start.

* Serve as the primary point of contact for new employees, providing clear communication and guidance on onboarding steps and timelines.

* Collaborate with Recruiting, Credentialing, HR, and IT to ensure a seamless onboarding experience.

* Maintain accurate and timely data in onboarding systems, HRIS, and personnel files.

* Track onboarding metrics and prepare regular reports on completion rates, bottlenecks, and overall performance.

* Identify opportunities to improve efficiency and enhance the new hire experience.

* Ensure compliance with company policies, federal/state regulations, and industry accreditation standards.

Qualifications

Qualifications

* Associate's degree in Human Resources, Business Administration, or related field;
Bachelor's degree preferred.

* 1-3 years of experience in onboarding, HR, or related administrative support.

* Strong organizational skills with proven ability to manage multiple tasks and deadlines.

* Excellent verbal and written communication skills with the ability to interact effectively with diverse groups.

* Attention to detail and commitment to accuracy and compliance.

* Proficiency with Microsoft Word, Excel, and HRIS/ATS systems; experience with iCIMS or similar systems preferred.

* Ability to maintain confidentiality and handle sensitive information appropriately.

* Customer-service mindset with a positive and professional demeanor.
