Overview

The Communications Operator is responsible for ensuring efficient communication within, to and from the hotel while maintaining attentive, courteous, and efficient customer service.

Responsibilities
  • Promptly answer telephone calls in a positive and clear voice with standard greeting.
  • Be familiar with the operation and function of PBX counsel.
  • Listen to ascertain the correct extension and accurately transfer the call.
  • Record accurate messages and recall for guests as requested by reading and verbally reciting messages to the guests.
  • Receive wake‑up call information, input cautiously into the automated wake‑up system, and verbally confirm time to guest.
  • Be familiar with the operation of the resort two‑way radio communication system.
  • Act as a dispatcher for security, guest services and property operations employees.
  • Provide timely information via paging system and two‑way radios to employees in response to emergencies and guest requests such as plumbing problems, shuttle service, etc.
  • Briefly answer basic inquiries (e.g., time, extension numbers, outlet hours, etc.).
  • Operate facsimile to send and receive. Operate photocopier.
  • Shop competition for rates and availability.
  • Remain calm and polite especially during emergency situations and/or heavy resort activity.
  • Be knowledgeable of resort emergency procedures and part played in them.
  • Complete guest callback and ensure that all guest questions are answered correctly; follow up on concerns to resolve them.
  • Assist front desk associates as needed.
  • Perform other duties as requested by supervisor.
  • Maintain a clean and safe work environment.
  • Clock out at end of shift and depart property until next scheduled shift.
Qualifications
  • High school diploma or equivalent and/or experience in a hotel or related field preferred.
  • Flexible and able to work long hours when required.
  • Sedentary work – capable of lifting up to 10 pounds occasionally.
  • Maintain a warm and friendly demeanor at all times.
  • Effective verbal and written communication with all levels of employees and guests in a friendly, courteous, and service‑oriented manner.
  • Effective listening and problem understanding to clarify concerns raised by employees and guests.
  • Multitask and prioritize departmental functions to meet deadlines.
  • Approach all encounters with guests and employees in an attentive, friendly, courteous, and service‑oriented manner.
  • Attend all required hotel meetings and training sessions.
  • Maintain regular attendance in compliance with hotel standards.
  • Maintain high standards of personal appearance and grooming, including proper uniform and nametag.
  • Comply with hotel standards and regulations to encourage safe and efficient operations.
  • Maximize productivity, identify problem areas, and assist in implementing solutions.
  • Effectively handle problems by anticipating, preventing, identifying, and solving them as needed.
  • Understand and apply complex information from various sources to meet objectives.
  • Cross‑train in other hotel related areas.
  • Maintain confidentiality of information.
  • Show initiative, including anticipating guest or operational needs.
  • Perform other duties as requested by management.
