About the RoleThe Referral Coordinator builds and supports relationships between referral sources, clients/families, and the team to enable efficient service delivery. The Office Support Specialist ensures administrative activities run efficiently, optimizes office systems, and supports referral relationships.
Key Responsibilities- Schedule and reschedule client appointments (treatments only)
- Obtain and send medical history and other required information
- Process insurance authorizations (Medicaid and private) and monitor authorizations
- Communicate schedule changes with team members clearly and timely
- Maintain Electronic Health Records and send/receive faxes
- Monitor cancellations and no-shows to increase accountability
- Collect copays and monitor patient balances in Fusion
- Deliver an excellent client experience: greet all clients, confirm appointments, follow up, and maintain compliance with insurance regulations
- Develop and implement efficient documentation and paperwork flow
- Assist in marketing content, client testimonials, and social media
- Help produce client and team events and celebrations
- Perform housekeeping tasks: disinfect spaces, organize clinic, laundry and dishwasher
- Customer service rating > 66 and 100% accurate co-pay and payment capture
- Faxes processed within 12 hours of receipt
- Clinic organization maintained daily
- Appointment confirmations for all clients, including holidays
- Referral sources contacted within 3 business days
- High school diploma or equivalent; post‑secondary education preferred
- Experience in administrative or customer service role, preferably in a healthcare clinic
- Strong organizational and multitasking skills with excellent customer service orientation
- Proficiency in EHR systems, scheduling software, fax machines, and basic office equipment
- Knowledge of insurance authorization process (Medicaid and private) and documentation requirements
- Basic marketing knowledge: social media, reviews, and content creation
- Ability to develop and implement systems to enhance clinic efficiency
- Supportive attitude and willingness to foster a fun, organized clinic environment
- Physical ability to perform light housekeeping tasks
