Position Summary: The Executive Assistant to the Associate Vice Chancellor (AVC) for Human Resources provides administrative support to the AVC HR and programming support to the Human Resources Department. Examples of programming support include managing the Human Resources budget, managing employee award programs, and assisting in the coordination of any assigned HR initiatives.
Minimum Qualifications- Bachelor’s degree, preferably in business administration or a related discipline; or equivalent combination of training and experience.
- Previous experience providing high-level administrative support with the ability to draft and compose correspondence and other documents.
- Excellent oral communication skills. Ability to manage the departmental budget.
- Must be able to work in a team-oriented environment. Experience working with confidential and sensitive information preferred.

Key Responsibilities Administrative Support to the AVC for Human ResourcesPercentage of Time: 50%
- Maintains the AVC-HR calendar, coordinating meetings, responding to meeting requests, and prioritizing calendar items.
- Monitors and responds to email correspondence from the AVC-HR general email.
- Responds to requests for information on behalf of the AVC-HR.
- Requests information from other staff members and/or other departments.
- Serves as the primary contact for internal and external constituencies on all matters about the role and responsibilities of the AVC-HR.
- Attends team meetings and facilitates HR administration and project deliverables communication between the AVC-HR and the HR leadership team.
- Tracks pending items and ensures they are completed timely.
- Compiles, researches, develops, and disseminates a variety of information, data, reports, and documents that facilitate the AVC-HR’s ability to operate effectively.
- Screens and responds to requests for the AVC-HR, including independently researching data and formulating recommendations.
- Assists with coordination with Departmental interns.
Percentage of Time: 25%
- Track and monitor project initiatives and strategic goals.
- Assist with coordination of departmental interns.
- Prepare notes and briefing materials for AVC meetings.
- Research, organize, and compile relevant project information.
- Manage the AVC-HR’s commitments on projects and committees.
- Prepare PowerPoint presentations, graphs, and charts.
- Coordinate and manage award programs (Governor’s Award, Service Awards, Gladys Strawn Bullard, etc.).
Percentage of Time: 25%
- Provide budget projections for the annual budgetary oversight.
- Monitor salary budgets and lapsed salary dollars.
Manage, coordinate, and monitor distinct accounts. - Work with the university budget analyst to reconcile all budget accounts and ensure successful year‑end closeout.
- Maintain P‑Card and reconcile expenses within deadlines.
- Coordinate requests from HR staff and prepare information for budget decisions.
Percentage of Time: 5%
