position summarythe business services coordinator is responsible for all the biology department’s financial operations, including account management and reconciliation, purchasing, travel, and reporting. Position also serves as the chrome river and p-card coordinator. The position interacts regularly with external vendors and with staff, faculty, and administrators across campus.
minimum qualificationsbachelor’s degree in business administration or a related discipline; or an equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

key responsibilitymanagement of biology department financial records
essential tasks- serve as primary departmental resource on all financial procedures, expenditures, and record keeping.
- monitors and reconciles faculty & staff allocations and expenses across multiple funding sources (50+ funds included).
- responsible for budget transfers, queries, and reports.
- research the history of spending within the funds for the department head and the business officer.
- resolve problems over expenditures and purchases, including delayed or missing purchases and travel reimbursements.
- track budget expenditures by course forthe e&t fund.
- prepare monthly reconciliation statements and fund reports for departmental leadership.
- prepare deposits of received money (bank royalties, external billing receipts, etc).
chrome river and pcard coordinator
essential tasks- process travel for biology faculty, staff, and guests
- review and verify all pcard transactions for the biology department.
- collect, verify, and archive receipts, account verification, and sign-off documentation.
- post all p-card activity to the relevant accounts.
- trains departmental user in the use of chrome river.
purchasing coordinator
essential tasks- responsible for purchasing equipment and supplies for the biology department. This includes wire transfers, non-po checks, non-employee reimbursements, honorarium, and purchase orders average of 500 submissions/year.
- makes large equipment purchases, often requiring quotes and special processing times.
- ensuring proper delivery and handling of live and hazardous scientific purchases.
backup to business officer and administrative support associate
essential tasks- serve as backup for both administrative support associate (shra #002583) and business officer (ehra #002581) when they are out of the office for an extended period of time.
business and records administration
competency description- ability to manage a variety of business and records functions.
- ability to perform research, data collection, analysis of information, and report writing.
- ability to interpret policies and procedures to facilitate and ensure the application of sound business practices.
