Position Overview
This Administrative Support Specialist provides essential administrative, clerical, and office‑support duties to the Associate Dean for Academic Affairs and Executive Assistant of the College of Engineering (COE). Responsibilities include preparing documents and reports, using office technology, compiling records, organizing and maintaining files, posting information, greeting and assisting visitors, answering phones, scheduling rooms for COE events and classrooms, distributing mail, photocopying, and supporting special projects and events.
Preferred Experience , Skills, and TrainingMinimum:
High School Diploma or equivalent and one year of related office experience; or an equivalent combination of training and experience.
Preferred:
Ten years of experience.
- Commitment to cultural diversity and ability to work with diverse groups.
- Microsoft Office Suite, Banner Student, Degree Works, Qualtrics.
- Keyboarding, professional administrative support development, customer service, web searching.
- High School Diploma.
Conveys information through various media. Exhibits excellent editing and proofreading skills, and communicates orally and in writing with visitors, students, faculty, staff, and the public. Maintains detailed calendars and records, manages logistics for program activities, and coordinates email, phone calls, and mailbox routing. Seeks opportunities to improve departmental efficiency.
Coordination – OperationsProvides administrative assistance to the Associate Dean and Executive Assistant, manages department records, hosts industry and academic visitors, supports daily front‑office activities, and creates meeting agendas. Schedules internal and external visitors and assists with project tasks.
Information / Records AdministrationCollects, analyzes, compiles, and processes records and reports using software and tools. Maintains the COE Faculty and Staff directory, processes letters and packages, monitors office supplies, and establishes an efficient filing system for correspondence and documents.
