Job Summary

The Accounts Payable Representative is responsible for processing and managing vendor invoices, payments, and financial records to ensure accurate and timely transactions. This position plays a critical role in maintaining accounting accuracy, vendor relationships, and compliance with dealership policies and financial regulations.

• Invoice Processing & Payment Management:
  Review, verify, and process vendor invoices for parts, services, and operational expenses.
• Purchase Order Matching:
  Match invoices with purchase orders and receiving documents for accuracy.
• Data Entry & Recordkeeping:
  Enter and maintain invoice data in the dealership’s accounting system.
• Payment Processing:
  Ensure timely payment processing via check, ACH, or wire transfer.
• Vendor Relations & Reconciliation:
  Communicate with vendors regarding billing discrepancies, payment status, and account inquiries.
• Vendor Statements:
  Reconcile vendor statements and resolve outstanding issues.
• Relationship Management:
  Maintain positive relationships with suppliers and service providers.

• Assist with month-end and year-end closing procedures.
• Prepare and maintain accurate financial records and reports.
• Support the accounting team in audits and financial reconciliations.

• Ensure compliance with company policies, tax regulations, and financial guidelines.
• Monitor accounts to prevent duplicate payments or fraudulent activity.
• Identify and suggest improvements to accounts payable processes.

• 1+ year of accounts payable or collections experience.
• Associate degree in Accounting or equivalent experience.
• Proficient in Microsoft Office including Excel.
• Commercial and/or auto dealership accounting experience preferred.
• Prior use of Procede/Excede preferred.
• Strong organizational and analytical skills.
• Ability to manage multiple priorities and deadlines.
• Ability to work effectively in a collaborative environment.
