Job Summary

The Accounts Payable Representative is responsible for processing and managing vendor invoices, payments, and financial records to ensure accurate and timely transactions. This position plays a critical role in maintaining accounting accuracy, vendor relationships, and compliance with dealership policies and financial regulations.
Key Responsibilities

Invoice Processing & Payment Management

• Review, verify, and process vendor invoices for parts, services, and operational expenses
• Match invoices with purchase orders and receiving documents for accuracy
• Enter and maintain invoice data in the dealership's accounting system
• Ensure timely payment processing via check, ACH, or wire transfer

Vendor Relations & Reconciliation

• Communicate with vendors regarding billing discrepancies, payment status, and account inquiries
• Reconcile vendor statements and resolve outstanding issues
• Maintain positive relationships with suppliers and service providers

Accounting & Financial Reporting

• Assist with month-end and year-end closing procedures
• Prepare and maintain accurate financial records and reports
• Support the accounting team in audits and financial reconciliations

Compliance & Process Improvement

• Ensure compliance with company policies, tax regulations, and financial guidelines
• Monitor accounts to prevent duplicate payments or fraudulent activity
• Identify and suggest improvements to accounts payable processes

Requirements & Qualifications

• 1+ year of accounts payable or collections experience
• Associate degree in Accounting or equivalent experience
• Proficient in Microsoft Office including Excel
• Commercial and/or auto dealership accounting experience preferred
• Prior use of Procede/Excede preferred
• Strong organizational and analytical skills
• Ability to manage multiple priorities and deadlines
• Ability to work effectively in a collaborative environment
