Overview
Responsible for managing all building and maintenance functions for the Clay County Sheriff’s Office which includes overseeing the work of employees and contractors that repair, renovate and maintain the department’s ten buildings, grounds and related equipment and maintaining records of all work performed.
Responsibilities- Prepare, manage, and monitor the annual maintenance budget, including forecasting, cost control, and reporting on expenditures.
- Ensure all maintenance activities stay within the approved budget parameters.
- Analyze maintenance costs and identify opportunities for cost savings and efficiency improvements.
- Track expenditures, approve invoices, prepare budget forecasts, and provide cost justification of capital and operational expenses.
- Negotiate contracts and pricing with vendors and service providers for best value.
- Post all approved time off requests onto the appropriate calendars to minimize conflicts and ensure adequate personnel coverage at all times.
- Run errands outside of the agency, pick up and/or deliver information/documents/packages to and/or from approved individuals/agencies as directed, and perform other routine tasks as appropriate.
- Operate the assigned vehicle in a careful and courteous manner, obeying all traffic laws and wearing seat belts.
- Receive and correctly prioritize maintenance requests in a timely manner, informing the appropriate personnel of urgent maintenance requests in line with agency policy.
- Recommend new or modified policies, procedures, and programs for efficient maintenance of facilities and grounds.
- Maintain strict control over all keys issued to facility personnel and document keys in a logbook in accordance with state regulations (if applicable) and agency policies.
- Schedule and supervise painting jobs so they are completed with minimal disturbance to normal operations.
- Determine the type and amount of supplies required and order supplies from the appropriate vendor in accordance with agency policy.
- Conduct facility maintenance and safety inspections, documenting all maintenance problems and safety violations.
- Set up facility inspections by external entities and accrediting agencies, document identified problems or safety violations, correct the problem, and prepare an appropriate response.
- Respond to calls 24/7 for emergencies.
- Oversee all maintenance on jail cells roll doors and pop doors and ensure buildings comply with ADA guidelines.
- Respond to maintenance requests, assess priority, and arrange/supervise the maintenance work.
- Prioritize maintenance work requests based on urgency, safety concerns, resources/supplies, and other pertinent criteria.
- Review completed maintenance work orders for accuracy, completeness, and timeliness of response.
- Assist superiors in making decisions on issues where no guidelines or policy exists.
- On a specified schedule or as needed, contact the appropriate department/agency/service to schedule building/office area maintenance service calls in a timely manner.
- Oversee facility construction to ensure overall quality and compliance with building plans/blueprints, contracts, and local codes.
- Report deficiencies immediately to the primary contractor for resolution in accordance with contract terms.
- Serve as an expert consultant in construction and maintenance project management.
- Provide clear, concise, and accurate direction and advice regarding construction and maintenance projects to help ensure successful completion within approved specifications.
- Schedule or coordinate and supervise monthly pest control services to keep facilities pest- and vermin-free per agency policy.
- Collect, analyze, and document assignments on designated topics and provide accurate and timely data for decision making.
- Maintain department historical archives in an organized manner to facilitate storage, retrieval, and security of archived materials.
- Conduct evaluations (special, probationary, semi-annual, annual, and other required) to assess subordinate performance and plan improvement strategies.
- Solicit or provide information/input regarding subordinate performance as requested.
- Conduct evaluations according to the agency schedule and policies, and, if applicable, include a career counseling session.
- Research and analyze issues to provide superiors with valid data to assist in decision making.
- Direct assignments to ensure goal achievement in line with agency policies.
- Implement changes and new programs as directed within the time frame specified by agency policies.
- Inform superiors of events or critical issues promptly.
- Resolve performance problems through counseling consistent with agency policies to improve productivity.
- Work effectively with colleagues and other agency personnel to maximize output and service quality.
- Develop and/or maintain a system for efficient, secure, and systematic document storage and retrieval in line with agency policies and laws.
