Bay Care Clinic Neurological Surgeons is looking for a Medical Secretary to join our team in Green Bay, WI. We’re looking for a compassionate, thoughtful candidate who wants to contribute to a positive experience for all our patients. The typical hours for this role are Monday-Friday from 8:00am-5:00pm. No Holidays! No Weekends! Occasional travel may be required.

Bay Care Clinic is a successful, dynamic group comprised of 19 specialties. We are a physician-owned entity with joint ownership in Aurora Bay Care Medical Center, a 167-bed hospital located in Green Bay, WI, offering us a built-in referral base. The Practice:
Our brain, spine and nerve specialists are part of the most comprehensive neurological surgery team in northeastern Wisconsin. Our neurosurgeons work with a team of specialists to offer comprehensive care for conditions of the brain, spine and nerves. We take pride in being the region’s longest-practicing neurological surgery team, combining more than 120 years of experience with innovative medical technology. Aurora Bay Care Medical Center in Green Bay is the first certified Comprehensive Stroke Center in northeastern Wisconsin.
That certification recognizes the most advanced stroke treatment available and the stroke center’s ability to provide the highest level of care for stroke patients.

The Job:
- Opens clinic in the morning, prepares office for the day’s activities.
- Transfers phone to night service prior to closing office at the appropriate time.
- Prints/distributes daily appointment schedules.
- Greets patients, verifies patient demographics and insurance information and copies insurance cards.
- Assists patients with registration forms as needed.
- Performs pre-registration/verification of benefits (as required per dept. protocol).
- Collects insurance co-pay and self-payments from patients and keeps cash drawer balanced.
- Answers phone calls, directs calls to proper location, takes messages when appropriate.
- Conducts basic triage to identify patients with acute problems.
- Schedules appointments as necessary.
- Conducts follow‑up calls on no‑show or cancelled appointments and documents findings.
- Makes reminder calls to patients regarding appointments.
- Enter insurance and patient change information into database.
- Notifies cashier/billing department of any insurance changes.
- Creates new patient charts as necessary.
- Coordinates and maintains patient charts within 3 days of appointment.
- Contacts Medical Records for charts as needed.
- Prints route slips, Rx cards etc. and attaches to patient charts.
- Monitors doctor’s schedules to take best advantage of available time.
- Respects and maintains confidentiality.
- Works in a safe, compliant and ethical manner at all times.
The Requirements:
- High school diploma or equivalent.
- Graduate from a medical office program desired.
- Medical terminology background preferred.
- Excellent organizational, communication and interpersonal skills necessary.
