Position Summary:
The Development Associate & Executive Assistant provides crucial support for the museum's fundraising efforts, acts as a key administrative assistant to the Executive Director, and plays a central role in coordinating special events, ensuring seamless operations, contributing directly to achieving annual development goals and enhancing donor engagement for the Paris Gibson Square Museum of Art (The Square). The Square fosters a positive workplace culture by communicating often and respectfully, collaborating openly, honoring shared office norms, and engaging thoughtfully with colleagues, donors and visitors.
Key Responsibilities Development & Fundraising (approx. 60%)- Support Executive Director (ED) with the development and implementation of membership and fundraising strategies, including annual donors, major donors, grants, community giving campaigns, and planned giving and development events
- Assist the ED and the Board of Directors with major donor activities and donor portfolio management
- Manage and update member/donor records, gift processing, and acknowledgment letters in the donor database (Little Green Light)
- Draft donor communications, newsletters, appeal letters, and grant-related materials
- Conduct prospect and grantor research and maintain updated mailing/email lists for donor outreach
- Coordinate reports, presentations, and meeting materials for the ED and Development committee
- Support the planning, logistics, and execution of fundraising, membership, and program events
- With other staff, coordinate event vendors, manage guest lists, and oversee promotion and volunteer support.
- Assist with in-kind solicitations, sponsorship fulfillment, and event-related mailings
- Assist the ED, the Board of Directors, and its committees with meeting logistics, materials, and communications
- Maintain discretion and confidentiality when handling sensitive information
- Bachelor's degree or equivalent experience in a related field (fundraising, nonprofit management, arts administration)
- At least one to three years of experience in nonprofit development, fundraising, or museum administration
- Proficiency with MS Office Suite (Word, Excel, PowerPoint) and donor database software
- Exceptional organizational skills, attention to detail, and ability to manage multiple priorities
- Strong customer service and written/verbal communication skills, with experience drafting compelling copy
- Ability to work collaboratively and independently in a fast-paced environment, including occasional evenings for events
- A genuine passion for the museum's mission, collection, and community
- All Paris Gibson Square Museum of Art positions may be required to perform duties beyond those listed.
