Position: Receptionist / Front Desk Coordinator (Full-Time or Part-Time)
Shift: or 8:00 AM – 4:00 PM;
Location: Great Falls, Montana Reports to: Administrator / Business Office Manager Compensation: $16–$18 per hour (based on experience) + comprehensive benefits including health insurance, PTO, and paid training.

Job Summary

As our Receptionist, you'll serve as the warm, professional greeting point for the facility—handling incoming calls, welcoming visitors, assisting families, and supporting administrative tasks to keep operations running smoothly. This role combines excellent customer service with organizational skills in a meaningful healthcare environment.

Key Responsibilities
  • Greet residents, families, visitors, physicians, and delivery personnel with a friendly, professional demeanor.
  • Answer and direct multi-line phone calls, take accurate messages, and respond to inquiries promptly.
  • Manage sign-in/out logs, issue visitor badges, and ensure security protocols are followed.
  • Schedule appointments, tours, and meetings; coordinate with admissions, therapy, and nursing staff.
  • Assist families with questions about resident care, visiting hours, and facility services.
  • Perform light administrative duties: data entry, filing, sorting mail, faxing, copying, and maintaining office supplies.
  • Maintain a clean, organized, and welcoming reception area and lobby.
  • Handle inquiries about admissions and direct potential referrals to the appropriate team member.
  • Support special events, such as family nights or community outreach, by managing RSVPs and check-ins.
  • Uphold HIPAA confidentiality and facility policies at all times.

Qualifications
  • High school diploma or equivalent; some college or medical office experience preferred.
  • 1+ years of receptionist, customer service, or administrative experience (healthcare or senior care setting is a plus).
  • Excellent communication skills—warm, clear, and professional on the phone and in person.
  • Proficiency with computers (Microsoft Office, email, multi-line phones); experience with electronic health records or scheduling software is a bonus.
  • Strong organizational skills, attention to detail, and ability to multitask in a busy environment.
  • Compassionate, patient, and empathetic—especially when interacting with elderly residents and grieving families.
  • Reliable, punctual, and flexible with scheduling.
